About the Admin Lead
Responsibilities:
• Oversee general office administration and operations; supervise the caretaker, cleaning officers and administrative assistant as applicable
• Supervise, mentor, train, and coach administrative staff if any, and delegate assignments to ensure maximum productivity when applicable.
• Ensure the organization meets all local compliance requirements.
• Liaise, as needed, with the bank
• Track employment contract start and end dates for all necessary employees
• Lead all Zambia office immigration processes (for example, visas, employment permits, etc.)
• Purchase office supplies and equipment and maintain proper stock levels
• Manage petty cash for the office
• Maintain office services by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; manage all clerical functions.
• Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurements.
• Design and implement office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
• Help manage office culture and morale; help new staff acclimate to life with IDinsight Zambia .
• Own relationships with vendors (for example, internet providers, landlords, etc.)
• Work with legal and finance teams in supporting compliance initiatives
Minimum Qualifications
Knowledge, skills, and abilities
• 3-5 years of relevant experience in administrative work, e.g., experience managing office operations and procedures, including correspondence with vendors, banks, and service providers.
• Bachelor’s degree in Business Administration, Human Resource, Management, or any other related field
• Knowledge and experience with the Zambia immigration processes
• Strong written and verbal communication skills in English
• Proficient in computer applications such as word processing, spreadsheets, database management, email, and utilization of the internet
• ZIHRM membership is preferred.
• Must have certificated qualifications by Zambia Qualifications Authority (ZAQA)

• Demonstrated ability to be a self-starter and fast learner; resourceful and resilient in the face of challenges

Preferable qualifications
• Experience working in an administrative capacity in an international organization
Nuts and Bolts
Work Location:
This position will be based in Lusaka, Zambia.
Start dates:
We are looking for someone to start in mid-March. A 4.5 months commitment is required.
