JOB DETAILS:
Job Purpose
The Office Assistant will perform administrative tasks to support daily business operations. Be responsible of collecting and delivering mail/newspapers, and attend to files and reprographic duties in order to facilitate efficient and effective operations of the institution. May also assist with planning and organizing company events or meetings, from logistics to catering.
Summary of Key Responsibilities:
• Perform all office tasks as required such as filing, maintaining documents and updating paperwork, ordering office supplies, running errands and performing other office duties.
• Post, collect and deliver promptly mail and newspapers in order to ensure their timely delivery.
• Move daily files and other documents in order to facilitate timely attention by action officers.
• Serve as point person for office issues
• Help coordinate office events
• Assist with answering the telephone, screen calls and direct calls to appropriate individual
• Greet office visitors such as clients or vendors politely and professionally
• Undertake timely photocopying, duplicating, binding and shredding of documents in order to facilitate smooth operations of the unit.
• Sweep and clean daily all offices to ensure their cleanliness and provide a conducive working environment.
• Prepare timely refreshments for officers and meetings in order to enhance the image of the office.
• Perform any other related duties that the supervisor may reasonably request from time to time.
• Deliver and collect mails, documents and perform and perform work related errands as requested such as going to the post office and bank.
• Operate basic office equipment, and assist staff with operating the equipment.
• Collect and distribute correspondences, files, memos, etc. internally as directed
• Carry out basic clerical and office registry functions as required

• Good writing and communication skills (verbal and written)
• Attention to detail
• Good prioritization skills
• Self-motivated and trustworthy, able to work with minimal supervision
• Good organizational skills
• Team player; always open to helping colleagues
Primary Areas of Accountability:
Qualifications and Experience
• Full Grade Twelve Certificate
• Minimum two (2) of relevant work experience (Office Assistant/ Administration)
• Experienced computer user; Microsoft Office is and added advantage.
• Must have proven working experience as an Office Assistant, Clerk or Orderly
