EuroZambezi Investment Limited is strategically located at Mtendere Road/Alick Nkata Road Road Junction, Lusaka. EuroZambezi (EZI) Investment Limited was formed in July 2019 with an investment of European equipment (Eurotek) into Zambia for auto fitment services. We now have a new purpose – built auto fitment service centre equipped with high tech Eurotek equipment. We are currently expanding by developing other services such as tour operations, secretarial services, passenger transport and management consultancy. As a newly formed company, there is a desire to recruit high calibre staff to achieve continuous growth.
This auto fitment service specialises in wheel balancing, alignment, tyres and computerised engine diagnostics services catering for customers in the neighbouring townships/suburbs such as Kabulonga, Mtendere, Helen Kaunda, Kalingalinga and Mass media areas. We are looking forward to expanding our catchment clientele and the company is looking for an innovative individual who could contribute to this goal. Job Summary:
To be responsible for assisting the manager/ director and the team with sales and accounting duties this will vary significantly as the business grows or expands. The work of the post holder will include basic book-keeping activities, sales, secretarial services, purchase ledgers, staff payroll, taxes and keeping correct records of income and expenditure. Evidence of good practical IT skills, a sound knowledge and an understanding of accounting and sales are prerequisites of the post and you will be expected to demonstrate this at interview and in the course of your probation.
The successful applicant will have some direct contact with a variety of customers and visitors especially from government regulatory organisations and suppliers and marketing, so a good standard of written and spoken English, communication and customer care skills are essential. Applicants should have an adaptable, flexible approach to work and be able to demonstrate they can work very well within a team as well as being able to use their own initiative.
Main Duties and Responsibilities:
• Point of Sale: Receive payments and operate NCR machine/initiate card payment.
• Pay roll run and taxes: Monthly and year‐end accounts.
• Statutory returns such as ZRA – online entries, PAYE, NHIMA, Workers Compensation & NAPSA Returns.
• Ability to work with FLEX PAY ROLL-Zambia’s online payroll system, PASTEL or Dove Payroll system or Sage 200 evolution.
• Ensure that the money is paid on time to the provided staff accounts by electronic means. Ensure that appropriate PAYE, NAPSA, NHIMA returns/contributions, and Workers Compensation, Company annual returns fees or any other statutory payments are calculated and computed and paid by 10th of each month where applicable.
• Check expenses and receipts to ensure that they are accurately recorded, and the supporting documentation is adequate i.e. VAT invoice where applicable. Ensure that expenses comply with ZRA tax legislation and raise any queries with the manager/director in a timely manner.
• Input and update fuel usage analysis records and inform the Manager or director when there is mileage and fuel consumption mismatch.
• Preparation and maintenance a spreadsheet of monthly income and expenditure as outlined in the business plan.
Sales and Purchase Ledger:
• Responsible for accounts payables (utility bills, sundries and consumables, etc) and receivables, and reconciliations as well as general ledger maintenance on any transactions, revenue and operational costs of business.
• Where provided or advised to implement, capture all data in the General Ledger Accounting Package for all entries.
• Update the accounting system by verifying any calculations.
• Sales ledger ‐ ensure invoices are raised / posted accurately and in a timely manner.
• Purchase ledger ‐ obtain authorisation from the manager/director for all purchase invoices. Where any discrepancies or issues arise with sales and purchase invoices, raise this with the manager/director for quick resolution.
• Nominal ledger ‐ process payment runs to suppliers based on invoices, approved for payment as prepared and authorised by the manager or director.
• Assist with procurement by sourcing quotations & making comparisons.
Other Administration duties and responsibilities
• Answer phones and manage any customer queries in a friendly and professional manner.
• Open post each day and distribute to the appropriate members of staff.
• Monitoring office supplies and ordering / purchasing supplies as required.
• Maintain stocks of stationery and re‐order when required.
• Co‐ordinating maintenance of the photocopier and any other IT equipment, including telephones. Performing of secretarial services as requested.
• Ensure customers have drinks and snacks if required.
• Any other duties as required to maintain a safe, clean and happy office environment.
• Provide financial advice, where appropriate to customers and staff.
Requirements:
Qualifications
• Grade 12 full school certificate or equivalent.
• Accountancy Diploma/Degree qualification with Level 1 or 2 ACCA/CIMA or Full AAT & NATECH
• Registered with ZICA.
• Driver’s licence is an added advantage.
Experience and skills in the following works that need to be undertaken are required:
• Filling system.
• Bank reconciliation.
• Expenses analysis.
• Maintenance of fixed and mobile asset register.
• Preparation of payroll using payroll systems.
• NAPSA Returns.
• ZRA tax returns on line completion/consultancy, including knowledge of Withholding Tax.
• Petty cash analysis and maintenance, and use of NCR or point of sale technology.
PAYE preparations and returns.
• Income Tax returns and Annual Returns – PACRA.
• Annual returns – financial statements.
• Preparation of monthly management accounts.
• Basic general accountancy services
