Position Overview:
The Administration and Human Resources Officer will be responsible for supporting and advising the country program on the various HR processes and systems. This includes support and advice in setting up or enhancing recruitment and selection, employee orientation and induction, performance management, benefits management, and record management. This position is also responsible for supporting a range of administrative functions, such as procurement and event planning. This position will work under the supervision of the Finance and Administration Manager

Description of Main Duties and Responsibilities:
Human Resources
• Assist in development and review of sound HR policies and procedures that are compliant with Internews standards and local labor laws.
• Organize recruitment including placing advertisements and arranging interviews.
• Prepares orientation program for newly appointed staff.
• Ensure all staff understand, sign and adhere to Internews ethics policies.
• Maintain electronic and hardcopy of HR personnel file for staff.
• Maintains the tracking system for all types of leaves for all employees.
• Maintain appropriate records and ensure confidentiality regarding personnel activities and personnel data.
• Provide technical support to managers in matters related to resourcing, terminations, employee relations, grievance and disciplinary management.
• Ensure timely completion of monthly timesheets by Staff.
• Assists managers in setting up goals and key result areas for staff motivation and performance feedback.
Administration, Procurement and Logistics
• Maintains an updated list of all vendors.
• Ensures the procurement policy is strictly adhered to and supports the procurement of supplies for the office.
• Support training and event planning, particularly the scheduling of travel and venues.
• May perform other duties as assigned

Qualifications, Skills and Abilities:
• At least 3-5 years of relevant human resources management experience, preference for working in an NGO setting.
• University degree in Human Resource Management, administration, or related field strongly desired.
• In-depth knowledge of employee relations and ability to develop and maintain knowledge of employment legislation.
• Strong communication, people management and interpersonal skills in English.
• Experience building and maintaining effective relationships with colleagues.
• Sound skills on Word, Excel, Power point. Preferably knowledge of an ERP system like Unit4.
• Excellent Information technology skills (including Microsoft Excel, Microsoft Word, and project management systems).
• Ability to multi-task and proven organizational skills, with strong attention to detail.
• Experience with administrative systems of international NGOs preferred.
• Skilled in cooperative resolution of problems.
• Must be self-reliant, resourceful, good problem-solver, good humored, and flexible
• Zambian nationality required.
