Grassroot Soccer Zambia is an adolescent health Organisation that leverages the power of soccer to Educate, Inspire and Mobilise youths in Zambia to overcome their greatest health challenges, live healthier, more productive lives, and be agents for change in their communities. GRS Zambia is Registered as a local Non-Governmental Organization, with programs reaching an estimated 40,000 at risk young people annually across Zambia. The overlapping epidemics of gender based violence, HIV, and broader sexual and reproductive health are the primary focus of our work, with complimentary programming on youth leadership and employability.
Grassroot Soccer Zambia seeks to fill the following position:
Administrative Assistant
Location: Lusaka Head Office
Job Purpose:
The purpose of this position is to assist in organising and coordinating office operations to ensure organisational effectiveness and efficiency. The Administrative Assistant will report to the Human Resource and Operations Manager.
Responsibilities:
• Manage all front desk administrative activities
• Provide administrative support to the Country Director (e.g managing calls, visitors, calendar, etc)
• Assist in coordinating travel and accommodation bookings, conferences/workshops, for all local staff and international visitors.
• Request for all Office Supplies and Stationery
• Initiate the procurement process and work with the Operations Lead on all Office purchases
• Manage storage and inventory of office supplies (consumables), projects items, and stationery
• Manage all utility bills (electricity, water, Internet, telephone etc)
• Manage logistics for training activities, workshop and preparing all materials needed. Also making sure attendance registers are populated for record purposes
• Taking minutes in meetings
• Support the Operations lead in all maintenance and repairs of broken machinery/equipment
Qualifications:
• Diploma or Advanced Diploma in Business Administration, Public Relations, Human Resource or any related fields
• 2 – 3 years’ experience in a fast-paced Organization.
• Experience in Office management in NGO Sector.
• Knowledge of USAID regulations will be an added advantage
• Strong computer skills including Microsoft Excel, Word, Power point etc
• Able to multitask and work under minimum supervision

Level of Education: Associate Degree
