About the Project: In recent years, rural communities in Zambia have faced increasing vulnerability due to the rising frequency and intensity of climate hazards, such as droughts and floods. With over 95% of farmers relying on rainfed agriculture, the impacts of these climate challenges are particularly severe. The situation is compounded for women and people with disabilities who face heightened vulnerability. Recognizing the urgent need to address these challenges, Focus Africa proposes a comprehensive project aimed at improving the adaptive capacity of rural communities in Zambia, with a focus on Monze and Kalomo Districts.
Objective: The main objective of this project is to enhance the adaptive capacity of rural communities in dealing with climate impacts, not only by strengthening mitigation efforts but also by promoting sustainable practices that contribute to the restoration of degraded areas.
Specific Objectives:
1. To support communities in implementing targeted mitigation activities aimed at minimizing the impact of climate change.
2. To improve the adaptive capacity of communities in rural Zambia.
3. To improve the institutional capacity of government and traditional structures in climate mitigation and adaptation.
Description of Role: The Administrative Officer will be based at the Lusaka office and will be responsible for providing administrative support to ensure the smooth functioning of project operations. They will manage office procedures and policies, handle correspondence, maintain records, and assist in organizing events and meetings.
Key responsibilities include:
1. Office Management: Oversee day-to-day office operations, including managing office supplies, equipment, and facilities, to ensure a conducive working environment.
2. Correspondence: Handle incoming and outgoing correspondence, including emails, letters, and phone calls, and ensure timely and appropriate responses.
3. Record Keeping: Maintain accurate and up-to-date records, files, and databases, both electronic and hard copy, related to project activities, finances, and personnel.
4. Event Coordination: Assist in organizing project events, workshops, and meetings, including scheduling, venue booking, logistics coordination, and preparation of materials.
5. Travel Arrangements: Coordinate travel arrangements for project staff, including booking flights, accommodations, and transportation, and processing travel expenses.
6. Communication: Facilitate communication within the project team and with external stakeholders, ensuring timely dissemination of information and documentation.
7. Documentation: Prepare and format documents, reports, and presentations, ensuring consistency and adherence to organizational standards.
8. Meeting Support: Provide administrative support during project meetings, including preparing agendas, taking minutes, and distributing meeting materials.
9. Compliance: Ensure compliance with organizational policies and procedures, as well as relevant laws and regulations, and assist in monitoring and reporting on compliance issues.
Qualifications:
1. Bachelor’s degree in Business Administration, Office Management, or a related field.
2. Minimum of 2 years of relevant experience in administrative support roles.
3. Proficiency in Microsoft Office Suite and office management software.
4. Excellent organizational and time management skills.
5. Strong attention to detail and accuracy.
6. Effective communication and interpersonal skills.
