About The Role:
The Document Controller will be responsible for all the designing and implementing a document management system for the Mingomba Mine Project. You will help to identify, design, and implement a document management system, including document naming conventions to be used across all Mingomba Mine departments. The document management system will be critical as the project moves through the design phase and into operation. You will be responsible for building and fostering a collaborative relationship with all stakeholders including consultants, peer reviewers and suppliers.
You will join an outstanding team of geoscientists, data scientists, and software engineers. You will be a core part of the project teams, advancing the science and practice of exploration. You will help develop novel data collection and monitoring programs.
Reporting to the Project Administrator, responsibilities of this position include:
• Setting up and maintaining Project Communication System including internal distribution, archiving and storage of all incoming and outgoing correspondence.
• Setting up and maintaining Project Document Control System including live archive and storage of all project Information and documents.
• Ensuring all company documentation is duly filed (both hard and electronic copy) with tracking logs up to date.
• Assisting the project team to search and retrieve documents/information in the Systems.
• Ensure correct, up to date revisions of all project documents are provided to the relevant persons timeously
• Providing management tools such as Status Reports / Input Audit Reports and any other form of monitoring report required by Project Director, Construction Manager and QA/QC Manager.
• Audit site Document Control and folder structure
• Assist with various administrative functions in bid development and submission, tender award, construction and operations
• Coordination of EPCM and O&M interaction during the Contract Negotiation period.
• Main Equipment Suppliers - Working together with Procurement and Technical Teams to provide administrative support where required.
• Responsible for managing the Project Deliverables List and EDMS
• Following up with key responsible personnel.

Qualifications
Our ideal candidate will have
• A formal qualification in administration or accounting is preferable.
• Bachelor’s degree in Business Administration or related field, Information Management, or a relevant Accounting Qualification
• Minimum of 5 years relevant experience in the Mining, Engineering or Construction industry.
• Proven experience with Electronic Document Management System (EDMS)
• Knowledge of document control processes and systems on projects and knowledge of the interface management with vendors will be required.
• Knowledge of engineering documents and approval processes within projects.
• Working knowledge and experience in different types of filing systems and good communication and interpersonal skills
• Computer skills MS Office, Word, Excel, Outlook, Microsoft Teams/SharePoint, Google Drive.
In addition to the above, you will have:
• Attention to detail.
• Able to work independently.
• A valid Driver’s license.
