Main purpose of job:
Within the Corporate Services Team to provide Office Support to the wider High Commission and specific support for the Logistics and Estates Teams.
Roles and responsibilities:
Office Support
• Routine Issuance of Stationery against requests, including updating stock control, advising the Estates Officer on required stationery re-supply
• Work with the Office Assistants to provide absence cover for the Receptionist
• Assist with setting up of meeting rooms, including furniture layout and refreshments and cleaning up after meetings.
• Manage Office refreshment supplies, advising the Estates and Office Services Officer on required refreshment and re-supplies
Logistics
• Assist with acquiring documentation for UKBS on arrival and on departure
• Deliver and collect requests to/from Zambian authorities.
• Provide resilience for the logistics officers for driving tasks within Lusaka
Estates
• Assist the Estates team with filing documents
• In the absence of the Handyman, manage and oversee the refuelling of Gen-sets.
• Support the estates team during ‘moving activities’ e.g. furniture deliveries to properties, delivering tents to events etc.
• Monitoring swimming pool (3 pools) maintenance is done regularly and signing off on each pool, periodically independently checking water quality.
• Regularly spot-check the guardrooms and gardener’s rooms to ensure cleanliness is observed; ensuring that the rooms are properly maintained to a high standard and report any issues in a timely and effective manner.

Essential qualifications, skills and experience 1
• Success in office support with previous experience of not less than 2 years
• Self-motivated and a good communicator in both written and spoken English
Desirable qualifications, skills and experience 1
• Ability to work under minimal supervision
• Strong multitasking skills

Working patterns:
This is a full time job with an hours lunch break and 36 hours worked in a work. The successful individual will be required on a full time basis based on the job description.
