The International Committee of the Red Cross (ICRC), an impartial, neutral and independent humanitarian organisation has been permanently present in Rwanda since 1990. Having its headquarters in Geneva, Switzerland, the ICRC is given its mandate by the Geneva Conventions to protect victims of international and internal armed conflicts. We are looking for an enthusiastic and motivated person for the position of Event Management Officer based in Kigali under an initial contract of one year renewable.

Position: Event Management Officer
Duty Station: ICRC in Kigali, Rwanda
Reports to: Manager of Welcome Department
Job Summary: The Event Management Officer helps in the organization of events, courses, trainings and meetings done through the ICRC Delegation in Kigali and ensures that they are organized and coordinated in a smooth and professional manner.


Functional Responsibilities:
Accommodation & Event Arrangements

  • Is the focal point for any event requests coming from ICRC Kigali or from any other ICRC Delegation and coordinates with Management and the respective departments accordingly;
  • Works constantly on her/his network in Kigali and its surroundings to know adequate hotels and restaurants to have an optimal choice match for any event taking place;
  • Conducts yearly market research and gathers information accordingly;
  • Maintains a working relationship with vendors and venues (hotels, training venues etc.).
  • Planning event aspects, such as venue, seating, catering, transportation, equipment, promotional material and guest list within the set budget;
  • Managing and overseeing events including problem solving, welcoming guests, directing event set-up, communicating with stakeholders;
  • Ensures compliance with financial, legal, health and safety obligations;
  • During events, is available by phone on permanent basis (24 hours) for any questions that might arise from the participants.

Travel Arrangements

  • Informs the event participants upfront and within due time with all relevant information;
  • Organizes and follows up all travel arrangements (visas, flight bookings, confirmation and modifications, etc.) for all participants to events organized by the Kigali Delegation;
  • Makes sure that the travel requests and billing are done according to administration and other internal procedures;
  • Organises movements of participants during their stay in Rwanda (pick up from/to the airport, movements to & from the different venues of organized events, etc.).

  • Monitors performance against deadlines and milestones.

Key qualifications and experience:

  • Minimum a BA in Event Management, Hospitality Management, Public Relation or a related field;
  • 1-3 years’ work experience in areas related to event management and hospitality;
  •  Excellent command of English and Kinyarwanda is required, very good knowledge French is a plus.

Advantage:

  • Worked in the hotel and/or travel industry in Rwanda;
  • Experience working in/or with international organisations;
  • Experience with sales and good negotiation skills;
  • Experience with managing multiple projects at the same time.
