Dear Potential Bidder,

Marie Stopes Zambia invites qualified and experienced firms to submit an Expression of Interest (EOI) for the design, supply, and installation of a solar energy system at our Lusaka Support Office. This initiative aligns with our commitment to enhancing energy efficiency, sustainability, and reducing operational costs.

Project Scope

The successful contractor will be responsible for:

  • Designing an energy-efficient solar power solution tailored to the energy needs of our office.
  • Supplying all necessary materials and equipment, adhering to international quality standards.
  • Installing the solar system, including any necessary infrastructure.
  • Providing after-installation support, including maintenance, warranties, and performance monitoring.

Technical Overview

At this stage, we expect interested firms to provide a high-level overview of their approach to meeting the following technical requirements:

1. System Design: The solar system should be capable of meeting the current and projected energy demand of the Lusaka Support Office. Proposals should outline whether the system will be grid-tied, off-grid, or hybrid, and include a brief description of the anticipated system size and capacity.
2. Technology Specifications: Preference will be given to firms proposing the use of innovative and high-efficiency solar photovoltaic (PV) technology, with a focus on durability and performance.
3. Energy Storage: Proposals should consider incorporating energy storage solutions (e.g., battery systems) to ensure uninterrupted power supply during non-sunlight hours or grid outages.
4. Sustainability and Innovation: Innovative approaches that maximize energy efficiency and minimize operational costs will be highly regarded. Proposals should also consider the long-term sustainability of the system, including maintenance, lifecycle, and potential scalability.
5. Compliance: The system design should comply with relevant national and international standards for solar installations and safety regulations and a valid Energy Regulation Board registration in importation and installation of solar systems.

Submission Requirements

Interested firms must submit the following information:

1. Company Profile: A brief overview of your company, including previous experience in solar energy projects of a similar scale.
2. Capability Statement: A detailed description of your technical expertise and relevant project history.
3. Proposed Approach: A high-level outline of your proposed solution for this project, emphasizing the innovative and cost-effective aspects of the design.
4. Key Personnel: A list of the team members who will be responsible for the project, along with their qualifications and experience.
5. Financial Stability: Proof of your company’s financial capacity to undertake the project, including relevant certifications and references.
6. References: A minimum of three (3) client references for similar projects undertaken in the last five years.

Site Visit

A mandatory site visit will be held on Tuesday 10th September 2024 at 10:00hrs CAT, at Marie Stopes Zambia, Plot 120 Kudu Road, Kabulonga, Lusaka, Zambia where all interested parties can inspect the premises and ask any necessary questions to inform their proposals. Proposal Submission

Proposals should be prepared in four hard copies: one original copy and three duplicates. These should be sealed and physically deposited in the tender box located at the reception of the following address:

All EOIs must be submitted no later than Tuesday 17th September 2024 at 17:00hrs CAT. Please note that only the most innovative and technically sound proposals will be shortlisted for the next phase of the tendering process. Proposals that demonstrate an innovative approach to maximizing energy efficiency and minimizing costs will be given priority.
