JOB DETAILS:
Job Purpose
This position will provide accounting and finance support to head office and provincial hubs across the country. Duties include accounting, budgeting, reporting and the compliance with current financial policies and procedures. He/she will also initiate fund requests, handle enquiries on grants that are finance specific, ensures timely submission of liquidations, take part in project forecasting/budgeting, prepare financial reports, and ensure the effective functionality of the financial management system.

Academic & Educational Qualification
• Degree in Accounting/Finance or Similar
• Part II ACCA/CIMA/CA is added advantage
• Graduate Member or Better of Zambia Institute of Chartered Accountants (ZICA)

Knowledge and Experience
• Working knowledge and application of Generally Accepted Accounting Practices (GAAP) and International Financial Reporting Standards (IFRS) and
• Minimum 5 years’ work experience in a similar role.
• Advanced knowledge of PASTEL, especially Sage Evolution required.
• Good knowledge and experience in financial management of donor funds would be advantageous.

Skills and Competencies
• Excellent communication skills
• Excellent working knowledge of Sage Evolution accounting
• Proficient in Microsoft office applications

Key Result Areas (Major Duties and Responsibilities)
Financial Management and Accounting
• Prepare ageing reports and provide feedback on key highlights issues noted to the Finance Manager
• Prepare monthly returns manage and reconcile accounts for NAPSA, NHIMA, ZRA.
• Process payroll monthly and support the Talent Acquisition and Development Manager in the implementation of employee benefits programs.
• Assist with any unresolved/questions raised during desk / business process reviews
• Review all staff liquidations for correctness and completeness for onward submission to finance manager. Additionally, engage with staff on Liquidation Standard Operating procedures (SOPs) as needed
• Ensure that the hubs are funded as needed and keep track of the planned activities on a monthly and quarterly basis.
• Ensure costs are acceptable as per USG regulations and charged as required to respective budget lines, the incumbent will monitor budget lines and communicate budget realignment if need be.
• Prepare Journal Entries for corrections and adjustments for the Finance Manager’s review and approval.
• Reviews and posts all entries into the accounting system
• Reconcile all the Bank/Cashbooks on a monthly and quarterly basis.
Budget Tracking
• Assist in the Development of Country Budgets
• Ensures that all Budgets are on Pastel as soon as they have been approved
• Keep Track and regularly update Budget Tracking Tool
Financial Reporting
• Prepare monthly journals for the Finance Manager’s approval
• Ensures compliance with all grant requirements
• Assist in preparation of monthly reports including monthly burn rates
• Support implementation of rigorous internal controls to ensure that all financial reporting is accurate, cost efficient and transparent.
Audit Process
• Support the Finance Manager during the organization’s annual audit.
Payments/Business Online Management
• Downloads Bank Statements
• Reviews all payment vouchers for completeness before they can be loaded on BOL.
