Description:
Job Purpose
The Grant Accountant will oversee the collection, recording, allocation, and analysis of award and project costs and revenue. Analyses budget and actual costs and prepares project profit and loss statements. Ensure that the overheads budget is recovered on a quarterly basis through payments and supporting documentation. He/she will also be responsible for financial reporting and analysis. Improve the management of grant projects and ensure maximum cost recovery. Prepare draft invoices, obtains approval from project managers, and transfers invoices to the Receivables application. Schedule and train new Grant Mangers on accessing their grant budget reports
Summary of Key Responsibilities:
- Maintain a system of financial accounting, reporting, and record keeping in accordance to Generally Accepted Accounting Principles (GAAP)
- Provide guidance and facilitate partner institutional capacity strengthening plans, ensuring partner organizations implement programs effectively, efficiently, and sustainably.
- Assists Grant Administrator, Grant Managers, and the Controller with pre-award budget development and performs post-award budget revision reporting for grants.
- Track partner grants disbursement and expenditure and provide internal reporting schedules.
- Responsible for the monitoring of grant activity including cost overruns, cost sharing and unallowable administrative expenses.
- Promptly follow-up and make adjustments to monthly and interim donor reports based on feedback from the program managers.
- Review monthly donor reports with the relevant managers and point out areas with financial risks in line with donor conditions for the managers to take proactive corrective action.
- Conduct financial assessment of partners; prepare and follow-up on risk management plans to ensure mitigation of risks for areas identified or in situations where contractual obligations may not be met.
- Assist project managers with budget re-alignment and other budgetary issues.
- Ensure proper coding and charging of expenses to the correct projects and budget lines.
- Receive, review and correct monthly cashbooks from implementing partners for assigned projects and prepare for submission to the Regional Finance Team by 10th day of each month for posting.
- Prepares and maintains reimbursement expenditure reports for grants and reconciles monthly grant reports to funds received.
- Assist in getting monthly cash flow requirements from implementing partners and project managers and forwarding this to the regional office for consolidation and forwarding to HQ /Regional Office for funding.
- Regularly visit partners and review their financial and administrative policies and procedures, identify shortcomings and train partners in such areas.
- Resolve routine operational and process issues related to grant management and refer complex issues to the supervisor with recommendations for courses of action.
- Support project managers in preparing proposal budget for various donors.
- Ensure that budgeted activities are reasonably costed and incompliance with the donor regulation.

Qualifications and Experience
- Degree in Accounting or Finance OR Full professional accounting qualifications (CA Zambia, ACCA, CIMA)
- Must have a minimum of at least 4+ years of working experience in Grant Accounting with a major international NGO.
- Proven experience in Grant Reporting
- Must have proven experience in managing donor relations
- Proficient in computer skills, particularly knowledge of MS Excel software.
- Must be a member of the ZICA
