Tyre-King is one of Zambia’s leading automobile tyre retailers with an extensive network of branches. We are looking for a dynamic, detail-oriented individual to join our team as a Human Resource Assistant Intern.
Position: Human Resources Assistant Intern
Purpose of the Job:
The HR Assistant Intern, will support the Human Resources department in various administrative and operational tasks. This internship is designed to help you develop essential HR skills and gain exposure to real-world challenges in HR operations, recruitment, and employee engagement.
Key Responsibilities:
Recruitment support
- Post job ads on job boards and social media platforms
- Screen resumes and job applications
- Assist with background and reference checks
- Help prepare job offer letters
Onboarding
- Ensure the onboarding process goes smoothly
- Conduct new employee orientation sessions
- Take care of new hire paperwork and logistics, such as setting up designated workstations, computer logins, email addresses, etc.
- Schedule meetings to discuss company policies and provide the employee handbook
- Serve as the primary point of contact for new employee inquiries.
Record-keeping
- Maintain accurate and up-to-date employee records, including personal details, employment contracts, performance evaluations, and benefits documentation.
- Ensure that all company documents, policies, and procedures are filed adequately.
- Assist with exit interviews and finalize termination documentation.
Benefits administration
- Manage compensation and benefits documentation.
- Assist with monthly payroll inputs required for processing of payroll.
- Resolve payroll errors and respond to related inquiries
- Assist with payroll and benefits reconciliations, audits, and payment approvals.
Compliance
- Work with line managers and employees to process compliance service requests
- Maintain accurate compliance records and tracking tools
- Undertake administrative duties necessary to fulfill compliance tasks
- Escalate complex issues to HR Manager when needed.
Performance management
- Support in preparing and managing performance improvement plans, reassignments, suspensions, resignations, retirements, and employee exits
- Send separation notices to employees who are due for mandatory retirement
- Provide departing employees with necessary documentation and process final or severance payments
- Act as the point of contact for post-separation queries.
Employee relations
- Handle employee grievances and complaints
- Collect and process incident reports from various business units
- Arrange an administrative hearing and document the minutes of the meeting
- Prepare and deliver notices of decisions and maintain company offense records.
Qualifications & Experience:
- Diploma or Degree in Human Resources Management, Business Management, Psychology, Management, or similar field.
- Six months internship or volunteer experience in HR, office administration, or customer service is an advantage
- Basic understanding of HR principles, labour laws, and recruitment processes (academic exposure is acceptable).
- Strong communication skills (verbal and written) – comfortable interacting with team members across all levels
- Organizational and time-management skills – ability to handle multiple tasks and meet deadlines.
- Attention to detail – especially when dealing with confidential employee records or reports.
- Team player mindset – collaborative, proactive, and eager to learn.
- Tech-savvy – proficient in Microsoft Office Suite (Excel, Word, Power Point); experience with HRIS systems or recruitment platforms (like LinkedIn, Workable, etc.) is a plus.
- Problem-solving abilities – able to take initiative and approach challenges with a positive attitude.
