JOB DETAILS:
Personal Assistant Duties and Responsibilities
The PA will perform a variety of administrative tasks for the Director.
Responsibilities of a Personal Assistant:
• Schedule meetings and manage calendars across Australia and Zambia.
• Answer phone calls and emails and take messages
• Take accurate and comprehensive notes at meetings
• Help with daily time management
• Run errands as requested
• Conducting research and preparing reports on business operations
• Attend to Client’s online requests, utilise quick thinking skills to resolve matters
• Plan travel, including flights, accommodation and ground transportation
• Coordinate events and speaking engagements
• Correspondence and deal with both Australian and Zambian stakeholders
• Run errands for purchases and supplies of goods and services for various projects in Lusaka.
• Draft correspondence such as emails and letters

Skills Requested for the Executive Personal Assistant
• Excellent verbal and written communication skills to deal with people on a daily basis
• Highly organised and good with managing time; ensuring all appointments, meetings, and other demands are well-scheduled
• Have thorough knowledge of the company and its operations
• Good with managing and coordinating business staff
• Can multitask and make quick, critical decisions; able to work well under pressure
• Are good at conducting research and preparing reports on business operations
• Very well presented individual with excellence people skills

Qualifications and Other Requirements
• A Minimum BA Degree In Law, BA Degree In Finance Or A Bachelor Of Science Degree (Bsc)
• Able to speak English fluently and understand different accents
• Ability to deal with a multinational, multicultural staff and clientele
• Excellence report writing skills
• A cheerful individual, with exceeding customer services skills
• A comparative individual able to deal with a diverse client base from a linguistically and culturally diverse community
• Excellent proven computer and people to people skills
