Overall Job Purpose:
The Materials Coordinator plays a crucial role in the efficient and smooth operation the processing plant. This role involves overseeing the management of materials, supplies, and inventory required for the production processes, ensuring that materials are available on time and in the right quantities. The Materials Coordinator collaborates closely with various departments to maintain optimal stock levels, track inventory movements, and contribute to the overall success of the copper processing plant.
Specific Job Responsibilities:
• Monitor inventory levels of raw materials, chemicals, spare parts, and other supplies required for the processing plant.
• Utilize inventory management software systems to track material movement, stock levels, and reorder points.
• Conduct regular physical counts and audits to ensure accuracy of inventory records.
• Follows-up as focal point on all issues with material, orders, delays.
• Tracks progress versus required delivery date until receipt and expedites when progress is behind schedule.
• Coordinates the disposition of all surplus material for planning and maintenance team for review, feedback to warehouse for appropriate actions
• Collaborate with production, and maintenance teams to understand material requirements for ongoing and upcoming projects.
• Monitor delivery schedules and address any delays or issues to minimize production disruptions.
• Prepare regular reports on material usage, inventory levels, and supply chain performance.
• Analyze data trends to identify opportunities for process improvements and cost savings.
• Gather information and input into the appropriate maintenance measures/ Key Performance Indicators such as abnormal cost of rush delivery, receipt backlog, material delays.
• Communicate vendor performance to procurement services.
• Ensure that all incoming materials meet quality standards and specifications.
• Collaborate with quality control personnel to resolve any issues related to material quality.
• Update documentation related to material specifications, safety data sheets, and vendor information.
• Adhere to safety protocols and guidelines to prevent accidents or incidents related to materials handling.
• Ensure compliance with environmental regulations and guidelines related to material storage and disposal.
• Contributing to the identification of the significant Health and safety risks of the plant.
• Ensuring that health and safety training is completed as required.
• Ensuring that incidents related to health, safety or the environment are reported and assist in investigations to identify any additional controls required.
• Attend regular safety meetings
• Actively promote continuous improvement in safety performance throughout the workforce.
• Material safety data sheet for all chemicals in use to be collected, placed where appropriate and ensure they are up to date.
• Collaborate with various departments, including production, maintenance, and procurement, to ensure smooth materials flow and efficient plant operation.
• Participate in regular meetings to discuss material needs and resolve any operational challenges.
• Communicates the order and delivery status, typically by setting various material status/flags throughout the work order cycle in pronto.
• Communicates both ways any potential changes in material specifications between supplier and requestor and initiates system updates as appropriate.
• Liaise with long term planning team for major plant outage material requirements and follow up.
• Works closely with procurement, cataloguing, planning, scheduling and work coordination to provide seamless execution of the work process.
• Supports Work Activity Coordinating & Maintenance Planning in sending unused material back to warehouse and/or vendor.
• Understanding of materials used in copper processing, their properties, and applications.
• Knowledge of inventory management principles, including reorder points, lead times, and economic order quantity (EOQ).
• Familiarity with materials storage, handling, and preservation techniques to prevent degradation or contamination.
• Proficiency in using inventory management software and tools to track material movements and maintain accurate records.
• Ability to perform regular physical counts, audits, and reconcile discrepancies between actual and recorded inventory levels.
• Skill in analyzing inventory data to identify trends, optimize stock levels, and minimize wastage.
• Experience in generating purchase orders, requisitions, and interacting with suppliers and vendors.
• Knowledge of procurement processes, negotiation tactics, and supplier relationship management.
• Ability to coordinate transportation logistics and ensure timely delivery of materials.
• Skill in collecting, analyzing, and interpreting data related to material usage, inventory levels, and supply chain performance.
• Proficiency in creating reports, charts, and presentations to communicate relevant information to stakeholders.
• Understanding of quality control processes and the ability to assess material specifications and compliance with industry standards.
• Knowledge of safety regulations and environmental guidelines related to materials handling and storage.
• Effective communication skills to liaise with various teams, vendors, and external partners.
• Ability to collaborate cross-functionally to address material-related challenges and ensure smooth operations.
• Aptitude for identifying issues related to material availability, quality, or procurement and proposing viable solutions.
• Ability to make informed decisions considering factors such as cost, lead time, and operational impact.
• Proficiency in using software applications for inventory management, data analysis, and communication.

Experience required
• At least 5 years’ maintenance engineering experience in the mining/mineral processing industry or 10 Years Supervisory experience.
• Demonstrate high level of skills in utilizing the approved maintenance information systems.
• Utilize procurement business rules.
• Full Working knowledge of appropriate Computerized Maintenance Management System (pronto) transaction codes.
• Demonstrate high level of material knowledge.
• Demonstrate proficiency in warehouse system.
• Comply to requested service level.
• Follow the procurement work process.
• Implement the disposition process summary report.
• Create rebuild/repair process summary report.
• Complete return verification report (itemized cost sheet of credits)
• Knowledge of appropriate standards, protocols, and systems.
• Microsoft Office knowledge and skills (Word, Excel, PowerPoint, etc.).
• Demonstrated skill in verbal and written communications, planning and organizing.
Qualifications
• A recognised Mechanical or Electrical Technical Certificate or substantial experience and demonstrated grasp of the principles of maintenance practice desirable but not essential.
