JOB DETAILS:
Role Purpose
The post holder is responsible for the provision of efficient and effective administrative, projects, financial, and facilities support. Responsible for the timely and accurate recording of accounting transactions and adjustments, making sure that all corporate and audit standards are achieved. S/he will render support with administration related to logistics, general administration of the office, documentation, and archiving tasks ensuring proper record keeping in the country. S/he will support facilities as required by the country office to ensure an efficient, secure, and appropriately controlled operating and working environment, delivered to British Council corporate standards.

Main accountabilities but not limited to the following:
Financial accounting and projects support:

• Liaising with the Accountant and Shared Services in providing necessary documentation.
• File management of key documents including contracts, invoices, delivery notes, etc
• Maintenance and reconciliation of petty cash;
• Cash handling: TC & ICS income, refunds processed cash and petty cash transactions;
• Dealing with all necessary operations during the month-end processes; (Pre-closing, Reviewing, Closing, and Reporting)
• Preparing monthly/yearly returns to local authorities; including filling and following up on tax refunds from authorities i.e. VAT
• Consistent monitoring of the existing data on vendor line item display – SAP (unexpected entries which could influence the cash flow forecast) in order to ensure that the planned remittances can be processed;
• Co-ordinate collection of vendor statements to enable monthly creditor reconciliations
• Processing staff vendors reconciliations, staff prepayment reimbursement, and staff debtor management.
• Monitor Gross framework Purchase Orders for BSS

Projects support
• Support the programme manager in the delivery of portfolio of large-scale and local programmes/projects through partnerships with other organizations to meet all project targets.
• Monthly cash flow estimates which accurately reflect project expenditure requirements over the next month or two
• Raising purchase orders for operational expenditure items
• Result Evidence Framework, to support the Country Manager in ensuring project outcomes and impacts are measured and reported according to corporate standards; and administer questionnaires, recording responses for all project activities.
• Support the Country Manager with Marketing and Communications, to ensure that projects are marketed to the highest standards in print (press, publications), digitally (websites, social media, TV, radio) and at events (conferences, workshops, meetings).
• Support the Country Manager in ensuring that all projects have a monitoring process embedded, that evaluations are conducted and lessons learned fed into ongoing project design and delivery.

Facilities Management
• Day-to-day maintenance of premises, security, and provision of a safe working environment.
• Ensuring that inventory is regularly updated
• Provide logistical support to specific projects and events
• Working with IT specialists to ensure IT equipment and services are regularly maintained to the required standards
• Acting as principal point of contact for travel and transport providers

Role specific knowledge and experience:
Essential requirements:
• University degree in any subject or relevant qualification
• Experience working in business administration in a fast-paced operational environment
• Basic Knowledge of Accounting
• Proficiency in using MS Office 365 software (especially Word, Excel and Outlook)

Desirable:
• BA in Business Administration or Finance
• Experience working as an Accountant
• Experience working in an international, multi-cultural environment
• Experience working with business software (SAP or ERP)

• Remuneration: ZMW 19,603.00
• Contract Type –One (1) Year Fixed Term Contract

• Language requirements: Strong written and oral English communication skills.
• The role holder may be required to work outside of usual hours (Mon – Fri 0900 to 1700) or act as an emergency contact. Flexible working arrangements are encouraged
• The Role holder must have existing rights to live and work in the country the role is based.
