JOB DETAILS:
  Eligibility criteriaMinimum age: 22 years old. Applicants must be nationals of or legal residents in the country of assignment.
Description of taskUnder the direct supervision of the Senior Advisor, Peaceful Elections and Democratic Strengthening.

Duties
• Support implementation of project strategies and implementation of project work plans:-
o Ensure project’s administrative and financial activities comply with UNDP rules and regulations;
o Support development and preparation of result – oriented work plans, annual work plans (AWPs), critical paths and other project management tools, and;
o Provide support to the implementation of the internal standard operating procedures (POPPs) in the project.
• Provide effective administrative and logistics support to the project in compliance with UNDP rules and regulations policies and strategies:-
o Coordinate the arrangement of appointments and meetings, including compilation of briefing and presentation materials, speeches, ground information and documentation;
o Support preparation of budgets for the project activities;
o Provide information for audit needs;
o Support the project in the procurement process including preparation of request for proposals (RFPs), terms of reference (TORs), receipts of quotations, bids for proposal and their preliminary evaluation;
o Prepare purchase order (POs) and non – PO vouchers;
o Arrange travel and hotel reservations, obtain necessary travel authorizations as required;
o Provide administrative support to organization of conferences, workshops and retreats as required;
o Support to the management on physical assets disposal/transfer; follow up on request and maintenance for disposal/transfer action and enter records in the asset control database (system) ensuring inventory records are up to date and accurate;
o Maintain, in collaboration with the Finance Specialist, an up-to-date list of inventories of the project and support annual physical verification by checking the accuracy of records and location of property;
o Be custodian for management of project stationary supplies including maintenance of stock list of stationary, distribution of stationary as required and keeping the log of distribution; and
o Maintain filing system ensuring safekeeping of confidential materials and documents.
o Provide translation of simple correspondence and act as an interpreter and take meeting minutes as and if required;
• Provide effective support in financial management focusing on quality assurance:
o Undertake, in collaboration with the Finance Specialist, timely corrective actions on unposted vouchers, including the vouchers with budget check errors, match exception, unapproved vouchers;
o Create requisitions in Atlas for the project, register of good receipt in ATLAS;
o Make budget checks for requisitions, POs and vouchers;
o Support the establishment the project M&E systems that enable project to have timely and accurate information;
o Support the Finance Specialist in monitoring the implementation of outstanding bal-ance of direct cash transfer to partners through ATLAS system and provide necessary advice and recommendation to the Senior Advisor;
• Participate in knowledge building and sharing activities of the project and UNDP:
o Participate in the trainings for the operations/projects staff on administrative and financial procedures;
o Provide training to project staff on the administrative and financial procedures;
o As required, support training of Project Management Unit (PMU) and partner staff engaged in the conduct of physical inventory;
o Contribute to the project’s knowledge management and learning agenda.
• Other duties:
o Support the Senior Advisor in analysis of information of donors, preparation of donor profile to advance resource mobilisation efforts;
o Contribute to the preparation of annual and quarterly workplans;
o Act as a facilitator or trainer in areas of his/her knowledge as required;
o Other duties as required by the Senior Advisor or the UNDP Country Office.

Qualifications/Requirements
Required degree level: Bachelor degree or equivalent Education – Additional Comments:
• Bachelor’s degree or equivalent in, Public Administration, Development Studies, International Relations from an accredited institution with at least three years of relevant professional experience.
Required experience: 24 Months Experience remark:
• Two or more years’ experience in project administration, project management, logistics, knowledge management, preferably in the international development/humanitarian sector. Work experience in administration of donor projects for specific cooperating partners and government counterparts’ would be an advantage. Strong computer and technical writing skills in English are desirable.
Language skills:
• English(Mandatory), Level – Fluent
Area of expertise: Development programme/project administration Area of expertise details:
• Two or more years’ experience in project administration, project management, logistics, knowledge management, preferably in the international development/humanitarian sector.
