JOB DETAILS:
The Zambia Institute of Secretaries (ZIS), established by Act Number 19 of 2022, is the professional body that regulates the practice, profession and conduct of professional secretaries in Zambia. The Institute invites applications from suitably qualified and experienced persons for the role of Registrar of the Institute.
Job Purpose
As Chief Executive Officer, the role holder will be responsible to the Council for the day-to-day administration of the Institute. The Registrar will provide effective and proactive leadership in implementing the Institute's strategic ambitions and statutory mandate.
Main Accountabilities
• Spearhead the implementation of the Zambia Institute of Secretaries Act, 2022 ("the Act"). Establish a f-for-purpose secretariat that is well resourced to provide high-quality services to the membership and all stakeholders.
• Oversee the development and implementation of the Institute's strategic plan and embed a high- performance culture at the ZIS Secretariat implement compliance and enforcement structures, systems, frameworks and processes to effectively regulate the secretarial profession in accordance with the Act
• Achieve financial soundness of the Institute, develop and drive budget implementation and organisational and operational efficiencies. Implement effective internal controls to achieve the Institute's statutory mandale, organisational performance and sustain business continuity.
• Serve as advisor to the Council and prepare high- quality and timely papers and policy briefs for consideration by the Council or Council committees.
• Build and maintain sound relationships with a variety of internal and external stakeholders to achieve successful delivery of the Institute's strategic and operational agenda.
• Develop and manage programs to position the Institute strategically with key stakeholders.
• Serve as liaison and spokesperson with the media and the Institute's stakeholders and the general membership.
• Provide efficient secretarial services to the Council and its committees and timely execute decisions made by the Council, Council committees and members' meetings.
• Assist the Council to embed good corporate governance practices in the Institute.
• Manage the delivery to key Institute projects, initiatives and assignments on behalf of the Council or its committees.
Qualifications and Experience
• Grade 12 certificate with a minimum of five (5) 'O' levels (credit or better).
• Master's in Business Administration (MBA) or MA/MSc degree in relevant commercial discipline or social science from a reputable university.
• Qualifications in Secretarial Management will be an added advantage.
• Registered member of a relevant professional body.
• Five (5) years' senior managerial experience in a professional or regulatory body or a dynamic commercial environment.
Key Competencies
• Exceptional written, oral and presentation skills and ability communicate complex matters to various audiences.
• Demonstrated ability to develop systems, policies and procedures.
• Strong leadership, managerial and marketing skills. Well versed in legal frameworks governing professional bodies or regulators.
• Good sense of balance between strategic objectives and operational priorities.
