The Ministry of Agriculture intends to recruit an Administrative Officer and Driver for the Programme for Integrated Development and Adaptation to Climate change (PIDACC Zambezi).The Ministry of Agriculture as Executing Agency of the PIDACC Project now invites qualified eligible Individuals for the following positions.
Administrative Officer
Duties & Responsibilities:
The successful candidate will be responsible for supporting PIDACC project office in administration activities assigned to him/her by PIDACC Zambezi Coordinator. The level of responsibility associated with the position as Administrative Officer requires the job holder to work independently, and with a high degree of diplomacy and sensitivity for confidential issues. The job holder’s main duties and responsibilities will include but are not limited to:
Office Administration: Organize and attend multiple meetings, appointments events to ensure that responsible management is well-prepared. Ensure that scheduling and general set-up tasks for meetings in local communities. In liaison with the procurement specialist arrange to hire facilities for workshops. Arrange travel, visa, and accommodation; travel occasionally with management to provide general assistance. Provide assistance to staff members reporting directly to the PIDACC Coordinator, in addition to providing assistance to their direct reports. Supervise the PIDACC Driver and ensure that fleet vehicles’ log books are well-maintained and updated. Ensure PIDACC file updates, and maintain records. Typing reports and correspondence using word processing software. In liaison with the Procurement Specialist, ensuring that office supplies and materials are maintained. Arrange for PIDACC meetings and assist M&E experts in taking key meeting resolutions. Ensure that all official PIDACC documents are well-filed for future use during audit. Support PIDACC unit in writing and editing success stories from target areas. Prepare and supervise the production of publicity PIDACC materials for visibility in target areas. Support the project in preparing regular quarterly and annual reports.
Analytical Work: Assist in the production of documents, briefing papers, reports, spreadsheets, and presentations. Take notes at meetings, write letters, and prepare minutes as requested. Assist where applicable with the programming of operational activities by using the appropriate software.
Problem Solving: Respond to inquiries; liaise with clients and other staff, coordinate with other members of staff. Perform any other duties reasonably requested by the PIDACC Coordinator.
Selection Criteria: Selection Criteria (including desirable skills, knowledge and experience). Grade 12 School Certificate. Diploma in Journalism. A Bachelor’s degree in Public Relations, Business Management, Commerce, Administration or related discipline, preferably supplemented with courses in public relations/ administration/office management. Preferably a minimum of five years of progressively relevant and practical experience. Strong customer service skills, good organizational skills, ability to multitask, attention to details and ability to work with a diverse workforce. Excellent written and verbal communication skills in English. Computer literate. Effective communication and report writing skills.
