JOB DETAILS:
Job Purpose
The Assistant Admin Officer will be required to perform a variety of administrative and human resource tasks. Provide support to Admin Officer and HRO and ensure the efficient and smooth day-to-day operation of the Departments and Company in general.

Summary of Key Responsibilities
• Making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems.
• Act as the point of contact for internal and external clients
• Ensure that kitchens and meeting rooms are free of insect infestation by arranging for fumigation when necessary.
• Liaise with Admin Officer when handling requests and queries from senior managers
• Prepares meetings rooms and serve refreshments in meetings
• Work with non-employees contracted to undertake one-off services such as office fumigation/lifting of stuff or repairs
• With the consultation of the Office Manager plan meetings and take detailed minutes
• Assist line managers to handle HR matters ( Screening of applications and preparing interview reports)
• Write and distribute email, correspondence memos, letters, faxes and forms
• Develop and maintain a filing system
• Update and maintain office policies and procedures
• Monitor and supervise o employees from the outsourced cleaning services provider
• Order office supplies and research new deals and suppliers

Primary Areas of Accountability:
Qualifications and Experience
• Full Grade 12 Certificate
• Advanced Diploma in Business Administration/Public Administration or Hospitality
• Certificate in Stores Management or Basic Accounting will be a plus
• Must have a minimum of 3-4 years of experience in Administration, working as an Administrative Assistant or Office Assistant
• Must have worked for a Hotel and Government Agency in the same capacity or under Admin
• Good knowledge of office management systems and procedures
• Proficiency in MS Office (Word, Excel and PowerPoint, in particular)
• Membership with either ZIHRM or ZIPS will be a plus
