JOB DETAILS:
Looking for a talented professional who can work independently to support all stages in the organization of an international Conference on Literacy planned for October 2021, including fundraising from locally based and international stakeholders. .
Expected tasks:
1. Manage the pre-conference registration and payments, in conjunction with the LAZ Treasurer, of all workshop delegates and submit an accurate list of delegates at the end of the conference
2. Register and work with the LAZ Treasurer, to register and receive payments from participants in the plenary sessions, where applicable
3. Provide sufficient on-site registration of delegates and manage attendance of all sessions
4. Manage room allocation and timing of sessions including coffee and lunch breaks
5. Liaise with the hotel/venue to ensure timely delivery of services and meals
6. Provide 550 x 4 GB flash discs with the abstracts and programs – (to be populated with paper presentations), 550 printed workshop programs, 550 conference bags, 550 notebooks, 550 T-Shirts and 550 LAZ branded pens
7. Assemble a technical team to attend to all panel sessions to assist presenters with the electronic equipment and their power point presentations
8. Providing scribe services during the above sessions
9. Audio recording and transcription of all plenary sessions
10. Ensure Video recording of all keynote and plenary sessions – and editing and provision of 550 flash discs of the conference for distribution to delegates
11. Issue, collect and analyze all evaluation forms from the workshops and the conference
12. Produce a conference proceedings package– both electronic and hard copy (1,000) in colour

The following is the profile of the Conference Planner:
• At least a Bachelor’s degree in a relevant field
• Proven event management experience – Impressive portfolio of previously managed events
• Having excellent organizational and facilitation skills
• Client oriented and resourceful
• Extensive knowledge and experience in Africa
• Ability to work under pressure and within budget limits
• Excellent written and oral communication skills in English
