JOB DETAILS:
Job Purpose:
The Dispatch Manager will be responsible for overseeing the efficient and timely distribution of finished products to customers while ensuring proper inventory management and logistics coordination. The role involves managing dispatch staff, optimizing delivery schedules, and maintaining customer satisfaction by ensuring accurate and on-time deliveries.
Key Responsibilities:
1. Dispatch Operations Management:
• Plan, coordinate, and oversee daily dispatch operations to ensure timely delivery of products.
• Develop efficient loading and dispatch schedules to maximize productivity and minimize delays.
• Ensure all delivery documentation (invoices, delivery notes, and dispatch records) is accurately prepared and maintained.
• Monitor fleet movements and ensure proper route planning for cost-effective deliveries.
2. Inventory & Warehouse Coordination:
• Work closely with the warehouse and production teams to ensure accurate stock levels before dispatch.
• Implement inventory control measures to prevent stock shortages, overstocking, and losses.
• Ensure proper handling, packaging, and stacking of products before dispatch.
3. Fleet & Logistics Management:
• Ensure optimal fleet utilization by coordinating truck availability and driver schedules.
• Oversee vehicle maintenance schedules and ensure all dispatch vehicles are roadworthy.
• Liaise with transport service providers for outsourced deliveries when necessary.
• Monitor fuel usage, delivery efficiency, and logistics costs to optimize operations.
4. Team Leadership & Supervision:
• Manage and supervise dispatch staff, loaders, and drivers to ensure operational efficiency.
• Conduct regular performance evaluations, training, and coaching for dispatch team members.
• Enforce safety procedures in handling and transportation of goods.
5. Customer Service & Compliance:
• Ensure timely and accurate deliveries to customers while maintaining high service levels.
• Address customer complaints related to dispatch delays, missing goods, or damaged products.
• Ensure compliance with transport regulations, health, and safety standards.
Job Specifications & Requirements:
Qualifications & Experience:
• Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
• Minimum of 5 years’ experience in a dispatch/logistics management role, preferably in the milling, FMCG, or manufacturing industry.
• Experience in inventory control, fleet management, and logistics coordination.
• All qualifications must be certified by the Zambia Qualifications Authority (ZAQA).
