The Media Network on Child Rights and Development (MNCRD) is a vibrant, membership driven, media association dedicated to sensitizing and equipping the media and children to cover child rights and development issues. It works with government, civil society, cooperating partners, children and journalists to ensure that the voices of children and their issues are captured in the media to achieve policy change and implementation. Our vision is a society where children’s rights are understood, prioritized and enforced.
MNCRD wishes to invite qualified individuals to apply for the following position:
Position: Finance and Administration Assistant – (x1 position)
Duty Station: Lusaka
Role Purpose:
The Finance and Administration Assistant
The Finance and Administration Assistant will be responsible for all aspects of financial processes of the organization in close coordination with programs staff. Reporting to the Finance and Administration Officer, s/he will handle financial activities including financial systems implementation, budgeting, expenditure tracking, procurement, grants, logistics, HR, administration, and financial reporting and accounting. S/he will work closely with District Coordinators to ensure efficient and compliant operations at all district offices. The person will be responsible for ensuring cost consciousness, efficient spending, and implementing and maintaining an onsite financial accounting and bookkeeping system required to assure the integrity and effective performance of MNCRD financial operations.
The incumbent will be reporting to Executive Director.
Staff directly reporting to this post: Administration/Finance Assistants and District Coordinators
Key Areas of Accountability:
• Processing and signing of payment vouchers for bank transfers and cash payments; ensuring payments are made on time and invoices are checked and accurate. Checking that all expenditure is covered by relevant funding agreement and budget allocation;
• Maintaining the petty cash and ensuring all balances are reconciled before replenishment, with all due accounting and security precautions;
• Preparation of bank account reconciliation;
• Preparation of end of month accruals and prepayment figures;
• With the Executive Director and Programs Manager, preparation of quarterly and annual budgets;
• Ensuring the secure management of all data files and the appropriate filing of the electronic and hard copies of the financial documents and reports;
• Preparation of a monthly country project return, with all necessary supporting documentation (invoices, bank drafts and bank exchange), and submission to Executive Director;
• Provide clear and detailed explanation on variance on budget vs expenditure, escalating any queries and risks to Executive Director as appropriate;
• Regular monitoring of the bank account(s);
• Maintenance of payment records of all invoices received and payee statement records for all suppliers and do internal audit with Board Treasurer and coordinate preparation of documentation for external audits;
• Payments of all regular area office expenses such as office rental, telephone bills, advances, etc;
• Payment of statutory obligations such as PAYE, NAPSA and NHIMA contributions;
• Procurement of requirements, ensuring that Procurement Policy is followed and supporting documentation retained for audit;
• Ensures sufficient availability of funds in the office bank accounts and cash by liaising with the appropriate interlocutors;
• Run monthly payroll documents for all staff;
• Management of leave plans for all staff; and
• Making necessary arrangements for programs team and partner traveling/visiting within and outside Zambia e.g., confirmation of travel plans and bookings for accommodation.
Qualifications and Experience
• ZICA Licentiate/Diploma/Bachelor’s degree in Finance or Accounting;
• 3+ years’ work experience in areas of accounting, budgeting, financial analysis, and payroll;
• Computer literate with excellent experience in Pastel, MS Excel, MS word, MS PowerPoint, internet browsers and accounting packages; and
• Experience in a finance role for an NGO or non-profit will be an added advantage.

Technical Support
The successful candidates will work under the supervision of the Executive Director.
The post holder may be required to carry out additional duties within reasonableness of their level of skills and experience.
Child Safeguarding:
The responsibilities of the post may require the post holder to have regular contact with or access to children or young people. This requires that they uphold highest levels of integrity dealing with children in accordance with the Code of Conduct of MNCRD.
