JOB DETAILS:
2. Purpose:
• The Human Resource (HR) Intern shall support the Senior Human Resource Manager in execution of HR administrative functions for SUN TA and LIGA.

• 3. Place of Performance and Reporting:
The Human Resource Intern will report to the Senior Human Resource Manager.

4. Responsibilities and Tasks:
• Support the Senior Human Resource Manager with human resource management tasks, including recruitment, hiring, employee on-boarding, and staff orientation, in compliance with USAID rules and regulations, policies, and local labor laws.
• Under the direction of the Senior Human Resource Manager, advertise vacancies, shortlist resumes, schedule interviews, collect required candidate documents, conduct reference checks, and salary history verifications.
• Collate and review monthly timesheets for accuracy and completeness and submit to Finance for both projects.
• Tracking and submission of monthly leave updates for staff of both projects
• Under direction of the Senior HR Manager maintain the Human Resource section of the SUN TA/ LIGA Field Operations Manual, ensuring on-going updates as needed.
• Support Senior HR Manager to monitor training related costs.
• Track that all employees have performance contracts.
• Prepare employment agreements for staff.
• Ensure compliance with the Zambian Employment Code Act No. 3 2019 and other Zambia labour laws.
• Maintain and update the TAMIS HR/Personnel Module with personnel files for all short- and long-term project staff.
• Maintain confidentiality on human resource issues.
• Any other duties assigned by the Senior Human Resource Manager.

5. Supervisory Responsibilities:
• The HR officer will not have supervisory responsibilities.

6. Education and Experience:
• Bachelor’s degree in Human Resource Management, Public Administration, or related field.
• Must be a Full Member of Zambia Institute of Human Resource Management and possess a valid practicing license from Zambia Institute of Human Resource Management.
• At least 1 year of work experience in human resource management, recruitment, and other relevant areas.
• Ability to work with minimal supervision.
• An individual with high ethical standards and ability to handle sensitive and confidential matters.
• An extremely well organized and self-directed individual with sound technical skills, analytical ability, good judgment, and strong operational focus
• Excellent writing, speaking, and reading skills in English.
• Experience working with HR information systems and computer literacy a must.

7. Key Result Areas:
• Track Performance Improvement Plans and ensure all employee have signed performance contracts and job descriptions.
• Track all employees have updated job descriptions and performance contracts that have set standards and objectives.
• Ensure all staff records are accurate and updated on TAMIS.
• Track and keep records of all employee training.
• Accurate and timely review and collation of monthly timesheets for both projects
• Tracking and submit monthly leave updates to staff for both projects.
• Ensure that all documents related to disciplinary cases are stored in a confidential manner.
