JOB DETAILS:
• Job Purpose
The Operations Manager will ensure and improve the performance, productivity, efficiency and profitability of departmental and organizational operations through the provision of effective methods and strategies. Improve operational management systems, processes and best practices. Planning and managing projects and contributing to product innovation. Reviewing contracts for compliance with language guidelines. Collaborating with internal procurement, legal and human resources teams to ensure contracts’ compliance.

Summary of Key Responsibilities;
• Ensure all operations are carried on in an appropriate, cost-effective way
• Improve processes and policies in support of organizational goals.
• Formulate and implement departmental and organizational policies and procedures to maximize output. Monitor adherence to rules, regulations and procedures.
• Inspect buildings’ structures to determine the need for repairs or renovations
• Review utility consumption and strive to minimize costs
• Supervise all staff facilities staff (custodians, technicians, groundskeepers etc.) and external contractors
• Control activities like parking space allocation, waste disposal, building security etc.
• Tracking operational costs toward maintaining profit margins.
• Promoting efficiency by implementing improved operational procedures.
• Analyzing and maintaining operational data, and monitoring product inventories.
• Monitoring adherence to policies and processes throughout the company.
• Work closely with HR Manager to organize recruitment and placement of required staff. Establish organizational structures. Delegate tasks and accountabilities. Establish work schedules. Supervise staff. Monitor and evaluate performance.
• Coordinate and monitor the work of various departments involved in the production, warehousing, pricing and distribution of goods. Monitor performance and implement improvements. Ensure quality of products.
• Manage quality and quantity of employee productivity.
• Manage the maintenance of equipment and machinery. Provide technical support where necessary.
• Monitor, manage and improve the efficiency of support services such as IT, HR, Accounts and Finance.
• Facilitate coordination and communication between support functions.
• Ensure that the organization’s processes remain legally compliant
• Liaising between parties regarding contract development, and negotiations regarding terms and conditions, and drafting and revising changes as required.

Primary Areas of Accountability:
Qualifications and Experience
• Degree in Business/Public Administration, Operations Management,Project Management or related field
• Must have a Minimum of 7-10 years of experience in Operations and Administration in the NGO or service sector
• Must have a minimum of 3-5 years experience in managing of operations for USAID funded projects.
• Must very good understanding of Admin, Logistics, HR and Financial Management
• Must have an understanding of Donor Regulations and Policies
• Knowledge and experience in organizational effectiveness and operations management
• Knowledge of business and management principles and practices
• Knowledge of project management principles and practice
• Information technology skills
