Qualifications And Experience
Minimum Required Qualifications and Experience:
• Grade 12 School Certificate
• Diploma in Procurement or equivalent (CIPS Level 4)
• Must have Graduated NOT Earlier than 2020.
• Fully paid-up member of the Zambia Institute of Purchasing & Supply (ZIPS)
Desirable Qualifications
• Degree in Procurement or equivalent
• Previous internship experience in procurement or similar fields will be an added advantage.

Key Performance Areas
• Support the Procurement Officers in various procurement activities.
• Assist in reviewing documents to establish missing information and submit to Line Manager for approval.
• Assist in Raising purchase orders using the electronic purchase-to-pay system (SAGE).
• Assist in document control activities which include, filing and record keeping for all procurement related administrative matters.
• Assist in executing requests for quotations from any suppliers to test the market for competitive pricing.
• Assist in checking the given thresholds to establish whether the procurement requisition can follow the standard procurement process or should go for closed or open tender.
• Provide communication to the Procurement Manager regarding the tender and request approval to embark on the tender process.
• Assist in ensuring that a tender submission register to the tender box prior to submission deadline is provided.
• Assist the Procurement Manager to review all the received tenders by using the tender checklist template.
• Assist in compiling bid evaluation packs for the bid evaluation committee.
• Assist in generating minutes from recorded Tender Committee sittings and share with Procurement Officer for edit.
• Assist in opening dedicated files for every tender and file copies of all submission in both hard and electronic copy.
• Assist in raising purchase orders for selected and approved supplier.
• Assist in following up on outstanding purchase orders after turnaround time and communicate to internal stakeholder on the progress of delivery.
• Assist in Completing procurement packs and submission for payments.
• Assist in ensuring that all suppliers present the required information before they are approved onto the RTCZ database.
• Assist in ensuring that only approved suppliers are issued with purchase orders.
• Assist the Procurement Manager to consolidate all user department requirements and prepare an quarterly procurement plan.
• Assist the Procurement Manager in updating the procurement plan.
