Carter Centre Zambia is hiring a Program Assistant to be based in Lusaka. The position is fixed term though November 2021, with possibility of extension. .
Job Description
Under the supervision of the Country Representative, the Program Assistant will have the following duties and responsibilities:
a) Provide administrative and logistical support for the field office;
b) Identify and secure service and equipment providers, includes car/driver rental, IT, photocopying, other services;
• Ensure that office equipment is in working order;
c) Provide information on market analysis and local conditions related to office and field operations to field staff, including for Lusaka and in areas outside of Lusaka;
d) Negotiate and manage local contracts, in consultation with Finance Associate;
e) Ensure procurement procedures are followed;
f) Maintain Asset/Office Inventory;
• Issue and track all equipment and other goods used in field operations;
g) Arrange meetings with stakeholders, including: service and equipment providers, civil society representatives, local authorities and other persons relevant to operations;
h) Arrange hotel, travel and other logistical operations for trainings, consultations and other project activities to take place in Lusaka and areas outside of Lusaka;
i) Arrange logistics for and support conduct of online, virtual trainings and consultations;
j) Coordinate logistics and transportation for expatriate TCC staff, consultants and experts that travel to and within Zambia in support of project activities, includes scheduling airport pick-ups and departures;
k) Maintain all office operations records and filing systems;
l) Participate in meetings with stakeholders, as requested;
• Assist in note taking and preparing summary of findings;
m) Assist with data collection and documentation for program monitoring and evaluation purposes, including maintenance of customer relations management system;
n) Assist with grant management tasks as requested;
o) Coordinate work with other managerial, program, and administrative staff;
p) Performs other duties as required.

Qualifications and Experience:
• Grade 12 Certificate or Equivalent
• 3 years on-the-job administrative and logistics experience
• Experience in event planning
• Knowledge of customer relation management systems preferred
• Excellent written and oral English language skills Proficiency in Microsoft Office, including Excel, PowerPoint, Outlook and Word
