JOB DETAILS:
1. Program Management Support
• Provide program and administrative support to the program team in the preparation of various program documents, such as work plans, budgets, reports, assessments sub-award due diligence documentation, etc. related to the implementation of the AINFP program.
• Under the guidance of the supervisor, assemble briefing materials and prepare power-point and other presentations for the program unit.
• Identify sources, and gather and compile data and information for the preparation of documents, guidelines, and other material as required.
• Assist the program team in reviewing and preparing documentation on the procurement of goods and services, and support contract tracking.
• Help the team in providing guidance to the country and project offices on routine implementation of the project, tracking use of financial resources.

1. Administrative Support to the Program Unit
• Provide administrative support to the program team in the organization of events, meetings and workshops, etc.
• Make travel arrangements for the program team and project staff, including preparation of travel requisitions and claims.
• Work closely with PM in correspondence with partners in various activities
• Maintain and organize up-to-date hard and electronic files for easy access and retrieval. Ensure safekeeping of confidential materials.
• Prepare presentation material/slides in Power-point for presentations for the meetings/workshops and keep all papers ready for meetings.

1. Support M&E Manager and Business unit to collect client M&E data:
• Familiarize his/her self with the indicators and targets as defined for this program
• Work with M&E Manager and Business unit to track indicators on the project
• Ensure that deliverables are on time, within budget and at the required level of quality

1. Required Skills & Experience:
Candidates applying should possess the following requirements:
• Zambian citizen or right to work in Zambia
• Diploma in Program Management or related discipline, a postgraduate qualification will be an added advantage
• 3 years relevant working experience working in private sector, enterprise development or entrepreneurship programs.
• Knowledge of agriculture and food industry in Zambia an advantage
• Proficient computer skills in business software (Excel, MS Project and PowerPoint)
• Strong analytical skills including in written form
• Excellent interpersonal and oral and written communication skills
• Ability to self-start and to generate innovative solutions in work situations
• Fluency in English required, with knowledge of local languages an advantage
