Job purpose:
We are a growing international health development charity who works with international and local volunteers. The postholder will collaborate with the Country Director, Programme Lead, Logistics Manager and Volunteer Engagement Officer to ensure a rewarding volunteering experience, recognise the value of volunteering, manage and support volunteers once in-country and explore new volunteering opportunities.

Specific tasks
Day to day management of the Volunteer Programme including:
• Support the Volunteer Programme to establish clear volunteer work plans within the projects’ activities, with the aim to ensure high quality delivery of the OCA volunteering work.
• Facilitate excellent coordination of the volunteer activities, which includes logistics, operational plans and collaboration across internal and external partners.
• Contribute to maintaining effective communication with relevant stakeholders and partners, including the Ministry of Health, District Health Office, health facilities, OCA staff and Trustees.
• Attend and contribute to both external and internal meetings as well as workshops related to volunteering as appropriate.
• Gather volunteer feedback about their experience and collaborate with the Volunteer Engagement Officer and Country Director to take appropriate steps for service improvement.
• Recognise and celebrate volunteering by organising thank you events.
• Ensure that all activities undertaken on behalf of OCA, externally or internally, are executed in accordance with the overall aims of the organisation and in line with our policies and procedures (incl.safeguarding).
• Collaborate with the Volunteer Engagement Officer on a monthly basis, contribute to the OCA newsletter and other social media recruitment campaigns.
• Lead on the registration of volunteers with HPCZ, or other relevant bodies.
• Support volunteers to obtain relevant visas and work permits to allow them to volunteer in Zambia.
• Support the Country Director and Volunteer Engagement Officer with activities as and when they arise.
Volunteer Coordination
• Contribute to development of OCA volunteer support guidance, toolkits and Volunteering Strategy.
• Support all aspects of the volunteer placements in Zambia, including but not limited to:
• Support the Volunteer Engagement Officer recruitment and selection of volunteers as and when required.
• Supporting logistical arrangements in country, including but not limited to HPCZ registration, immigration, accommodation and transport to placements.
• As and when required, drive volunteers to their rural health facility placements in the Southern Province.
• Developing, implementing and monitoring of volunteer work plans in liaison with volunteers, Country Director, Volunteer Engagement Officer, Logistics Manager and the Programme Lead
• Be main contact for all volunteer queries while in Zambia
• Ensure volunteers are properly inducted, trained and supported to carry out their roles and resolve any volunteering related issues as they arise.
• Provide ongoing support to volunteers throughout their placement (incl. accommodation and logistics), including weekly team meetings and monthly supervision.
• Conduct mid-placement reviews with volunteers.
• Work with colleagues on volunteer timelines for when they are in Livingstone and when they are in the rural community.
• Ensure that the logistics team are aware of planned trips to the rural community, and requirements for those trips.
• Work with the logistics team to organise food and drink provisions before each rural community visits.
Monitoring and Evaluation
• Collaborate with the Country Director and Volunteer Engagement Officer to ensure timely and accurate reporting on project activities, outcomes and impact.
• Contribute to OCA evaluation of project and annual report.
• Contribute to the Global Volunteering Standards

Skills and experience
Essential:

• 2 years of volunteer management experience.
• Excellent communication and interpersonal skills
• Building effective working relationships.
• Experience of managing volunteers from different backgrounds in an international development setting.
• Experience of reporting.
• Self-motivated, high-energy and a pro-active ‘can-do’ attitude.
• Proven ability to work flexibly as part of a small team.
• Strong leadership skills and good relationship management.
• Good IT skills (incl. Microsoft Office and Teams)
• Clear driving license

Desirable:
• A volunteer management qualification or good understanding of volunteer management.
• Experience of community development.
• Experience of community health or medical projects.
• Experience of working effectively within a team which is partly in Zambia and partly in the UK.
• Interest in medical or development work in Africa.
• Previous monitoring and evaluation experience.
• A team player and able to work alongside their local colleagues in the spirit of partnership
