Fleet Supervisor: You will be reporting to the Fleet Manager

Duties:
• Updating and maintaining vehicle fleet operation systems
• Providing reports and updates to branches daily of vehicles due for services, license renewals and drivers PDP’s
• Expediting of vehicle maintenance and services
• Provide weekly reports to finance and management
• Analyzing and providing feedback on data reports
• Negotiate contracts and quotes with mechanics and dealerships
• Negotiate insurance deals
• Developing efficient driver schedules to maximize daily operations.
• Managing drivers so they adhere to strict schedules.
• Registering and licensing all vehicles under their management.
• Finding ways to cut costs and maximize profits.
• Developing strategies for greater fuel efficiency.
• Maintaining detailed records of vehicle servicing and inspection.
• Utilizing GPS systems to monitor drivers and track vehicles in case of theft.
• Assisting in the recruitment of quality drivers into the fleet.
• Ensuring strict servicing and -maintenance times to minimize downtime and maintain schedules.

Requirements:
• A minimum of a Diploma in Fleet Management, Transport and Logistics or related field
• At least 3 years experience in FMCG.
• Valid Driver’s license class C1 and above
• Good communication skills and command of the English language
• Experience in fleet management

How You Will Impact Bollore Transport & Logistics.
Under the general supervision of the Operations Manager, International Freight Forwarding Officer will be responsible for the provision of Freight Forwarding under operations department and will have the following functions and responsibilities.
• Work with Global offices to prepare end to end Rate quotations Road-freight
• Electronic Pre-alerts received from the Supplier/Importer/Transporter or forwarding department, advising date of dispatch of consignment and estimated date of arrival at the border.
• Avoid delays at the Border and the Supplier is immediately to be advised what documents must accompany the consignment.
• Keep regular contact with relevant Border
• Forward the information by email to relevant Border
• Timely resolve queries
• Ensure that documents submitted by the client are correct
• Ensure that All invoices are submitted to client for payment a within the stipulated credit terms
• Ensure that Sourcing of Transport is dine through respective department as per laid down procedures Airfreight.
• Electronic Pre-alerts are received from the Supplier/Importer/Transporter or Forwarding Department. Should be a minimum of 24 Hours, prior to dispatch of consignment.
• In order to avoid any delays the Supplier must supply the date of dispatch and date of estimated arrival (ETA)
• Advise Supplier of the Documents that must accompany the shipment
• Maintain close communication with the Client with up-to-date information regarding their consignment
• Share reports with client on a daily basis Warehouse register, Tracking report
• Open Hardcopy and Electronic File showing Branch Reference Number
• Pass the File to Clearing Department
• Monitor Customs Clearance process and keep Client updated
• Follow up with necessary stakeholders to ensure queries are resolved timely and all parties involved are kept updated
• Compile a daily report for clients and share a copy with the Branch Manager and Operations
• Circulate Document tracking report on a weekly basis and highlight red flags

• Ensure Client has correct Invoice
• Follow up to ensure full settlement of the Invoice
• Ensure that respective Supplier invoices are settle timely and agreed
• Ensure that invoice related queries are resolved timely
• Cargo Received Report obtained from the Warehouse
• Send arrival Notification to Client
• Ensure that respective Shipment documents for goods in receipt at Bollore are scanned and share with the client.
• Issue a Delivery Note must be approved by Branch Manager and Accounts department.
• Once Delivery has been done ensure proper acceptance by Client is on file.
What You Need To Succeed
• Qualification Diploma or Advanced Diploma in Clearing and forwarding or Similar/Equivalent

Qualification
• At least 2 Years of work experience in a Similar Position (Clearing and forwarding or in Transport and logistics -Related Field)
• Clearing and forwarding or shipping management is an added advantage
• Must be fluent in both written and verbal English.
• Must be fluent with Microsoft applications such as Excel, Word and Power Point.
• Must be able to work independently, be self-assured as well as have a diplomatic personality.

The Zambia Compulsory Standards Agency (ZCSA) is a body corporate created by the Compulsory Standards Act No. 3 of 2017 whose mandate is to inter alia administer, maintain and ensure compliance with compulsory standards.

A. KEY RESPONSIBILITIES
• Drives safely and regularly the Agency’s vehicles on official business in order to facilitate operations
• Updates timely and accurately log books in order to enhance accountability for official trips
• Checks regularly vehicles in order to ascertain their roadworthiness
• Undertakes regular cleaning of the Agency’s vehicles in order to ensure that they are in a clean state.
• Prepares timely accidents reports in order to facilitate decision making
• Undertakes effectively the preparation of work plans and implementation of the Annual Performance Appraisal system (APAS) in order to monitor, evaluate and enhance performance

B. QUALIFICATIONS, EXPERIENCE AND PERSONALATTRIBUTES
• Full Grade 12 School Certificate
• SADC Driver’s License of not less than 2 years
• Minimum 2 years’ relevant work experience
• Ability to write reports
• Able to communicate in English,
• Must be of sober character
