Legal Secretary
Job Purpose

The Legal Secretary will perform comprehensive Secretarial and Administrative Support functions the legal department. Facilitate the meeting of deadlines by keeping multiple agendas and provide timely reminders. Under supervision, write case briefs and synopses of depositions, contracts and testimony.

Key Responsibilities:
• Manage the front office in the Legal Department by answering phone calls, take notes/messages and redirect calls when appropriate
• Preparation of correspondence and other documents using a computer program, light typing, photocopying, collating, transcribing dictation, setting appointments and meeting and interviewing clients to obtain case information as directed.
• Responsible for maintaining the Head of Legal’s calendar as well as the Intranet calendar for the office, recording all court and hearing appearance dates, dates for filing or responding to litigation, senior outreach schedules, community education events and other items as instructed.
• Under the direction of a Legal Officer, prepares various legal forms, including formal notices, proofs of services, discovery documents.
• Provide Receptionist duties- Back-up support also includes opening, stamping and distributing mail to staff.
• Responsible for arranging for service of process as instructed, coordinating client and witness office or other litigation-related appointments; schedules depositions or gives notice to opposing counsel
• Any other duties as assigned by the immediate Supervisor

Qualification and Experience
• Diploma or Degree in Law
• Must have a minimum of 3-5 working experience in the same capacity working for a Law Firm well-established organization
• Must be Familiar with Legal Filling
• Basic knowledge of the constitution, legal terminology, regulations and court system

PURPOSE OF THE JOB
To provide legal support to the Authority in compliance with the provision of the law and in accordance with Authority Policies in order to protect the Institutions Interests

KEY DUTIES AND RESPONSIBILITIES
Assist the Legal Manager/Board Secretary with:
a) To Provide legal advice on the operations of the Authority to ensure that there is compliance with the law;
b) Representing the Authority in civil litigation matters and preparation of court documents
c) Preparing legal opinions and guidance on changes and developments in legislation, regulations, guidelines and practices affecting the operations of the Authority;
d) Foster compliance by reviewing and drafting contracts, agreements, policies and other legal documents as required;
e) Ensuring best practices are adopted and guidelines complied with, and that all activities comply with applicable laws, rules and regulations;
f) Providing efficient and effective legal risk management support in form of monitoring and compliance with internal policies and relevant legislation;
g) Attending to prosecution of offences under the Medicines and Allied Substances Act No. 3 of 2013 to enforce compliance with the law; and
h) Prepare and escalate reports to the Legal Manager/Board Secretary

QUALIFICATION AND EXPERIENCE
• Full Form V/Grade 12 School Certificate with five (5) ‘O’Levels with credit or better, including Mathematics and English;
• Bachelor’s Degree in Law (LLB);
• Advocate of the High Court with a minimum of 2 years post qualifying experience
• Member of the Law Association of Zambia with a valid Practicing Certificate
