Position Title: Procurement Officer
Location: Lusaka
Reports to: Operations Coordinator

Job Purpose:
Purchasing Officer Responsibilities include evaluating vendors and preparing reports (e.g. on orders and costs.) For this role, you should have good knowledge of market research, along with solid analytical skills to make sure you’re identifying the most profitable offers.
Ultimately, you’ll create and maintain good relationships with key suppliers to ensure merchandise is high quality and delivered on time.

Responsibilities:
• Research potential vendors
• Compare and evaluate offers from suppliers
• Negotiate contract terms of agreement and pricing
• Track orders and ensure timely delivery
• Maintain updated records of purchased products, delivery information and invoices
• Prepare reports on purchases, including cost analyses
• Monitor stock levels and place orders as needed
• Evaluate and monitor contracts to be sure that vendors and supplies comply with the terms and conditions of the contract and to determine the need for changes
• Maintain and review records of items bought, costs, deliveries, product performance, and inventories
• Work out agreements with suppliers, such as when products will be delivered
• Evaluate suppliers based on price, quality, and delivery speed
• Interview vendors and visit suppliers’ plants and distribution centers to examine and learn about products, services, and prices

Requirements
• Proven work experience as a Purchasing Officer.
• Good knowledge of vendor sourcing practices.
• Understanding of supply chain procedures
• Solid analytical skills, with the ability to create financial reports and conduct cost analyses
• Negotiation skills
• Diploma in purchasing, Business Administration or relevant field

Overview
Job Responsibilities:
Drives tipper to loading and offloading rocks, debris, and other materials
Drive assigned tucks and avoid spillage on the mine roads during operation.
Maintain the tyres for the trucks by not running over spillages during operations.
Ensure the check-list is completed and submitted
Ensure good house-keeping
Follow operating manuals and general signage
Report all defects on assigned machine
Follow correct instructions from the respective supervisor and laid down procedure
Perform any other duties as me be assigned by the supervisor.

Qualifications:
Minimum Grade 12 Certificate
Class CE Driver’s Licence – Held for at least 5 years
Minimum 5 years’ driving experience of a 30 tones Tipper Trucks or similar.

• Ensure vehicles are road worthy. Ensure vehicles are kept clean.
• Assist with Office Maintenance Duties when needed. Track service/repair and refueling of generator.
• Track service, repair, Insurance, road tax and fitness of vehicles and discs are displayed on vehicles.
• Making deliveries, collect quotations, and documents, loading and offloading goods as requested.

Qualifications, skills and competences
• Grade 12 certificate
• Valid class C driver’s license of not less than 5 years
• Mechanics skills or qualification is added advantage
• Five (5) years proven driving work experience. NGO work experience is an added advantage.
• High levels of confidentiality
• Good verbal and written skills. Good Interpersonal and communication skills

• No criminal record. Ability to work under pressure with strong attention to detail.

Innovations for Poverty Action (IPA) is a non-profit organization that creates and evaluates solutions to social and development problems and works to scale up successful ideas through implementation and dissemination to policymakers, practitioners, investors, and donors.
Innovations for Poverty Action (IPA) Zambia seeks a qualified and suitable candidate to join the IPA Zambia Team as a Senior Procurement Assistant. The Senior Procurement Assistant will report directly to the Senior Manager, Policy and programmes, and the IPA management team – they will be responsible for assisting the IPA Zambia Operations and Procurement department

Specific responsibilities include:
• Propose possible service/product vendors for categories not listed on the IPAZ Prequalified Supplier List with the aim of sharing RFQs in line with the IPA Global Procurement Manual
• Monitor business trends and product availability to pay the best price for goods and services without sacrificing quality or delivery times
• Assist in the developing and implementing strategies for procuring, storing, and distributing goods or services and maintaining stock levels
• Nurture relationships with suppliers to negotiate the best prices for IPAZ
• Carry out periodic market surveys to ensure services and goods procured for IPAZ are competitively priced.
• Produces tender documents (e.g., Invitations to Bids, Requests for Proposals, and Requests for Quotation) based on the nature of requirements and cost of procurement involved.
• Review, Prepare and share approved Purchases Orders and contracts with suppliers.
• Ensure the accurate and timely delivery of requisitioned goods.
• Ensure all procurement-related files are securely and accurately filled to facilitate ease of retrieval on demand.
• Provide support with internal procurement inquiries from projects.
• Correspond with vendors regarding price, product availability, delivery terms & requisite documents required for the payment process.
• Respond to inquiries regarding requisitions, purchase orders, contracts & pricing information.
• Assisting program teams with procurement planning and requests
• Coordinate the issuance of IPAZ assets / Inventories and document the same via the IPAZ asset/inventory register.
• Update the asset register for any status changes for each inventory to include disposals, project transfers, loss, or damage.
• Ensure all Assets/Inventories that meet set monetary value are placed under insurance with a credible service provider.
• Attend to any other duties as assigned by the supervisor

Qualifications and Experience:
• Ability to work under minimum supervision
• Diploma in Purchasing and Supply or its equivalent
• At least 2 years of experience in supply chain/procurement
• Fluent oral and written communication skills in English
• And able to follow written instructions and communicate effectively over email
• Clean criminal record
• Zambian Citizen
• Membership in ZIPS and/or CIPS
• Experience with NPOs/NGOs is a plus
• Good listening and analytical skills.
• Self-motivated and proactive.
