JOB DETAILS: Reporting to: Branch Manager/Chief Operation Officer
1. MAIN PURPOSE OF THE JOB
To perform accounting duties at Lusaka Head Office.
2. MAIN DUTIES OF THE JOB
2.1 To receive and receipt money from clients and record the receipt in the daily cash template. Ensure that the accounting records for Branch are up to date.
2.2 Ensuring that all cash received from clients are banked on a daily basis as required by the existing Finance Manual. This also involves maintenance of properly records for the cash received and evidence of approval by authority to handle such cash.
2.3 To ensure that copies of deposit slips and disbursement listings are sent to the head office supervisor on a timely basis as required by Finance Operational requirements.
2.4 To assist clients with any accounting tasks that may be required for an efficient and effective service.
2.5 Call all loans which are dues for the month and ensure 100% efficiency together with the CROs
2.6 Ensure that there is 90% Customer retention monthly through constant engagements with the Clients whose loans are maturing.
2.7 To be the custodian of office keys and all filling cabinets keys in the absence of the branch manager.
2.8 Attend to client’s complaints, record client complaints and forward such to the Credit Supervisor/Chief Operation Officer.
2.9 To keep and maintain petty cash for the branch using a secure petty cash box. This also includes ensuring that monthly petty cash reconciliations are done and completed accurately and on a timely basis.
2.10 Help branch supervisor and credit officer with disbursement of funds to clients and ensuring that necessary controls are observed.
2.11 Ensuring branch utility bills (Rentals, Telephone, fuel, Repairs for motor bikes, etc.) are settled on time and in accordance with agreements with suppliers. In line with this, you will be expected to prepare branch payment vouchers for head office review.
2.12 Responding to inquiries from client and potential clients.
2.13 Capturing and reconciling of all loans on Weekly score sheet for the purpose of Daily Reporting
2.14 Filling and reconciling of all receipts, vouchers and other accounting documents.
2.15 Reconciling receipts in loan system and receipts in the cashbook.
2.16 Conduct random clients’ phone calls to remind clients of loan repayments.
2.17 Maintaining an up to date Branch Fixed Assets register in format prescribed by Head Office.
2.18 Ensuring that all Loans applications in the system are properly and adequately completed
2.19 Implementing Branch Office internal Control recommendation from Senior management, Auditors and other external and internal consultants
2.20 Preparing monthly management accounts for the Branch in Accordance with prescribed standard. These should include Bank reconciliation, Income statement and balance sheet, cash for the Branch and should be submitted by 5th of each month.
2.21 Timely idenfication and clearing of all outstanding issues on the bank reconciliation, in terms of direct deposits, direct debits, unpresented payments and uncredited deposits.
2.22 To alert Chief Operation Officer or Chief Executive Officer of any irregularities and suspected Frauds at Branch Level immediately such occurrences happen.
2.23 Responsible for all branch administrative duties such as, housekeeping, payment of fire and Business Permits, payment of Road tax and road fitness for motor bikes, management of the generator etc.
2.24 To perform any other tasks as may be required by the supervisor or head office Accountant/Chief Operation Officer.
3. Minimum qualification requirements and competencies:
3.1 Qualification
• Diploma or Degree in Accounts or part qualification of a professional accounting qualification or any equivalent qualifications from a recognized registered institution
• Knowledge of the Microsoft Office Suite especially MS Access and Excel is a must
• Elementary accounting knowledge will be an added advantage
• An alternative qualification may be considered where relevant experience and expertise possessed are considered adequate for the effective performance of the job.
3.2 Accounting Knowledge And Experience
• At least one-year experience in data processing in a very busy environment.
• Knowledge of lending, credit and risk management including pre-loan eligibility requirements, collateral, loan approval processes, repayment terms and incentives, delinquency and default management
3.3 Banking Regulations and Legal Compliance
• Knowledge of lending, banking and transformation products policies and procedures

• Exceptional oral and written communication skills with the ability to communicate clearly and persuasively, speak clearly to third parties and employees, interpret documents, understand procedures, and write reports and correspondence
• Ability to meet reporting expectations of the Management
