JOB DETAILS:
Job Summary
• The job involves managing all in-bound and outbound e electronic mails. The Job also entails scrutinizing all hard copy mails for appropriateness in line with the ChildFund International Ethical Behaviour Towards Children Policy. The job holder is also supposed to maintain up to date records of all transactions in the LTE/Donor Portal. Support the Sponsorship Unit in ensuring quality and timeliness in all the child communication processes.
Key Responsibilities
1. Remain alert and responsive to any child safeguarding risks, acquire relevant knowledge and skills which will enable you to promote strong safeguarding practices, understand the child safeguarding policy and procedures, and conduct yourself in a manner consistent with the Child Safeguarding Policy
2. Strategy: Participating and contributing to development of the sponsorship strategies, priorities and plans; working closely with the Sponsorship Officers and the Sponsorship Manager to ensure implementing partners submit quality materials in a timely manner. Supporting the realization of the sponsorship annual operation plan. Working at improving the mailing processes by devising efficient and effective workflows using technology. Actively participate in the innovations of the department aimed at improving sponsorship management.
3. Quality Control: Working with the SRC to develop tools to support compliance to high SR standards at all times. Scrutinising all in-coming and outgoing mail to ensure appropriateness. Rejecting mails that do not meet the set standards. Collect and collate materials for the monthly reports that should outline areas of improvement.
4. Sponsorship management. Supporting the implementing partner staff in processing hard copy mails from children for sending to sponsors. Preparing weekly mailing schedules and creating way bills for updates in the monthly mailing reports.
5. Documentation: Documenting all the mailing and other departmental process for sharing and orientation purposes. Keeping all the appropriate records for easy reference and accountability.
6. Keeping up to date folders on the performance of each of implementing partner for easy follow up and support.
7. Performing any other duties that may, from time to time, be assigned by the immediate supervisor and or the Head of Department.
Qualifications
Degree or Diploma in Social Work, development studies or any other Social Sciences.
Knowledge, Skills, and Abilities
• Good computer skills
• Good oral and written communication
• Work with minimum supervision.
• Completes tasks in a timely, cost effective way
• working in a team environment
