Knowledge Management Assistant
Background

The Southern African Social Protection Experts Network (SASPEN), is a non-profit loose alliance of stakeholders, scholars and consultants who engage with social protection, promoting, fostering, expanding and improving social protection in the SADC region and beyond. As a network, SASPEN links social protection experts and institutions. Activities of the network include country workshops, international conferences, seminars, publications, joint research and dissemination of information on social protection.

SASPEN has the mandate to share knowledge and information in social protection through policy dialogue and discourse in social protection. The SASPEN website and our other online platforms are the most important channels through which SASPEN disseminates and shares information on social protection and its programmes.

SASPEN is looking to engage a Knowledge Management Assistant remotely for 4 months to support knowledge-sharing via different communication channels. The selected candidate will assist in the creation, development, administration and management of content, discussions and networking via our online platforms.

The Knowledge Management Assistant (KMA) will manage the day-to-day information knowledge flow from within and outside SASPEN to enable various users and stakeholders to access knowledge resources for information and research purposes. The job provides an exciting opportunity for a person with excellent communication skills, and experience in social protection.

Terms of Reference/Duties of Knowledge Management Assistant
Under the substantive guidance of the Programme Officer, the Knowledge Management Assistant is expected to ensure timely and high-quality delivery of tasks and ensure that new and existing functions on the site are being utilised.

Deliverables
• Establish a consolidated database of information and knowledge that can be accessed by the secretariat and distributed to members;
• Timely updates of information on social media platforms, the SASPEN website and through direct mail to all network members;
• Establish new partnerships and strengthen existing partnerships and approaches for the management and distribution of information and knowledge;
• Produce and edit videos and recordings for distribution purposes;

Key Duties/Responsibilities:
• Identify opportunities for capturing and sharing knowledge, and disseminating information about major social protection related events and projects;
• Manage our online platform for webinars, seminars and conferences;
• Coordination, planning, and administrative support of periodic webinars and online seminars with partners including liaison with panelists;
• Develop and maintain an events calendar, ensuring that major events are identified early;
• Assist with branding packaging and dissemination of all publications which may include but are not limited to; policy briefs, research reports, working papers, etc;
• Develop and maintain contacts with key print and electronic media (including radio, TV, news websites and blogs) to supply them with newsworthy material about SASPEN activities and Social protection in SADC;
• Capture, and produce video content of all SASPEN activities, for dissemination on various platforms;
• Promote discussions among members to share experiences and opinions around emerging issues in Social Protection (SASPEN Blog Insights);
• Mapping social protection frameworks and develop national profiles on social protection programmes on the region

Competences
• Understand SASPENS strategic objectives and goals;
• Proven and excellent verbal and written communication skills coupled with great interpersonal and networking skills;
• Good level of technical report writing skills;
• Ability to strongly support and build knowledge products;
• Proficient at multi-tasking and motivated by results;
• Responds positively to feedback;
• Willing to work under pressure, with online/telecom supervision;
• Advanced knowledge of HTML highly desirable;
• Strong familiarity with social media tools and online social networking

Qualifications
• Bachelor’s degree in Information Science, Library Studies, Economics, Development Studies, International Relations, Public Administration (social sciences), etc.;
• At least a minimum of 1 year of professional or academic experience in knowledge management, and/or communications, and/or content management;
• Proficiency in written and spoken English.

Desirable
• Professional or academic experience with social protection policies and programmes;
• Experience with the development and implementation of online courses, including planning, content writing, management and evaluations;
• Knowledge of databases and/or content management systems;
• Technical knowhow of producing and editing videos, creation of database and hosting online events such as webinars, including streaming physical events via various platforms such as Zoom meetings, Microsoft teams, Facebook and YouTube, is an added advantage;
• Proven ability to manage, produce, package and disseminate information on various online-platforms, social media and online communities;
