We are currently seeking qualified and experienced volunteers to join our team for the positions below. Please note that the positions are on a voluntary basis, there is No remuneration. Volunteers will be required to spend at least 3 hours per week on YAWL activities or engaging with other members online or in person.

RESOURCE MOBILIZATION DEPARTMENT
The purpose of the Department will be to coordinate the process for producing high quality proposals and concept notes in accordance with Young African Women in Leadership strategic direction and donor requirements and also to build the capacity of programmes and partner staff in proposal developments. The Department will be responsible for extensive partner, member and donor liaison during the proposal development process.

RESOURCE MOBILIZATION COORDINATOR (Volunteer) (X1) – LUSAKA
Reports to: Deputy Country Representative
Main Duties:
• Develop a resource mobilization strategy and action plan
• In collaboration with the Deputy Country Representative, Identify and build relationships with relevant stakeholders including INGOs, CSOs, government departments and donors for strategic partnerships on co-funding applications, resources mobilization and projects’ delivery.
• Support the development of opportunities such as Expressions of Interest, proposals, concepts to donors (including institutional, corporate, multilateral and foundations, etc.).
• Prepare and develop concept notes and other write ups including proposals.
• Monitor, document and highlight new funding opportunities to ensure that Young African Women is abreast of new opportunities in line with YAWL Zambia’s strategic focus.
• Develop Fund Agreement Documents and monitor to ensure contracting is finalized between donors and YAWL Zambia.
• Provide on-going support to YAWL field staff and partners on understanding donor financial compliance, identifying financial risks and other best practices related to grant management and organizational development relevant to YAWL Zambia project implementation.
• Ensure that all reporting deadlines are adhered to and reports meet highest standards and quality as outlined in reporting guidelines.
• Support stakeholder identification and mapping to feed into a comprehensive stakeholder engagement strategy.

Qualifications and Experience:
• Bachelor’s Degree in related discipline
• Experience in working with local communities and networking with local implementing partners, and private sectors.
• Understanding of the various Donor rules and guidelines.

RESOURCE MOBILISATION OFFICER (Volunteer) (X1) – LUSAKA
Reporting to: Resource Mobilisation Coordinator
Main Duties:
• Supporting the Resource Mobilisation Coordinator to regularly track donor, potential donor, and umbrella websites for Requests for Applications and proposal submission opportunities for YAWL core competency areas.
• Supporting the Resource Mobilization Coordinator in identifying donors with potential funding areas that align to YAWL strategic priorities and analyse information necessary for innovative and responsive proposals the organization can decide to pursue.
• Serving as primary proposal writer, drafting, editing, and ensuring final production of competitive proposals for submission to donors; Use writing skills to transform technical content and conceptual design into polished final proposals that are responsive to donor guidelines, including log frames and proposal budgets.
• Map and maintain a database of international and local donor/ funding.
• Supporting the Resource Mobilization Coordinator with all donor engagement activities.
• Managing administrative procedures, practices and project management tools regarding donor funds / grants.
• Facilitating meetings, phone calls and written correspondence with donors and stakeholders.
• Proactively follow up with the donors following proposal submission to monitor progress, answer questions and amend submissions, as necessary.
• With support from the Proposal development team, review secondary literature on relevant subjects relating to proposed projects and programs.
• Based on data analysis, identify data, information and analysis gaps. This should include reviewing and compiling relevant research, evidence from prior similar interventions, best practices and lessons learned.
• Utilisation of reports for YAWL activities, community interventions and outcomes to demonstrate impact of our projects to existing and potential donors.
• Organise fundraising events for the organisation.
• Performing any other duties as assigned by the Resource Mobilisation Coordinator.

Qualifications and Experience:
• Diploma / Bachelor’s degree
• Knowledge of and experience / relationships with diverse donors / funders.
• Experience in communications would be an asset
• Experience tracking donor trends and opportunities.

MONITORING AND EVALUATION DEPARTMENT
The Department will be responsible for establishing and managing the project’s overall MEL system, tracking all progress made towards meeting program/contract results, indicators, and targets, including impacts on girl’s empowerment in Civic Leadership, Entrepreneurship, Peace Building, Women’s Rights and Sexual Reproductive Health Rights, ensuring that they are being consistently and systematically documented, tracked and reported.

MONITORING, EVALUATION AND LEARNING (MEL) COORDINATOR (Volunteer) (X1) – LUSAKA
Reporting to: Country Representative
Main duties
• Designs and oversees the monitoring, evaluation, and learning activities of the projects.
• With the support of the Programmes staff, to support in leading rapid and detailed mappings and assessments.
• Leads the design, development, planning, and implementation of the MEL plan and project evaluation activities, including the development and dissemination of tools, materials, reports, papers, and intervention-linked research.
• Develops systems for the timely collection, management, analysis, and reporting of valid and reliable data that meet donor reporting requirements.
• Oversees and coordinates data collection activities, including baseline and end line learning assessments.
• Working closely with the Programmes to co-design monitoring tools, select indicators, and determine field monitoring responsibilities.
• Ensures tool compatibility and coordination within the MEL framework, and consistency with national and donor requirements.
• Leads the development of the project learning agenda, designs, and implements learning activities and research studies.
• Focuses on strengthening the MEL system, building capacity of partners and staff, and improving alignment and support to host-country MEL systems.
• Supports the project’s Collaborating, Learning, Adapting (CLA) framework.
• Undertakes periodic reviews of program and/or country MEL systems and participates in planning MEL system strengthening actions.
• Provides guidance on information systems for quality assurance, as well as best practices documentation and reporting.
• Provides high quality and timely submission of all required project reports, including documentation of success stories, analysis of data for indicator calculation, summary of qualitative findings, etc.
• Provide monitoring and evaluation training to relevant project staff and government staff engaged in data management and utilization.
• Oversees the publication and dissemination of information on successful and promising approaches, lessons learned, and other program results to Ministry counterparts, Donors, Program partners, and other key stakeholders.

Qualifications and Experience:
• Bachelor’s Degree in related discipline
• Experience in design and implementation of MEL systems
• Strong quantitative and analytical skills and ability to articulate technical information clearly and effectively to both technical and non-technical audiences.

MONITORING AND EVALUATION OFFICER (M&E) (Volunteer) (X1) – LUSAKA
Reporting to: MEL Coordinator
Main Duties
• Work with MEL Coordinator to develop and maintain trust and good relationships between YAWL and its partners in collaboration with the respective sector institutions, collaborating agencies, health care workers and volunteers, and communities in YAWL supported projects’ areas
• Review and compile all training reports conducted through YAWL support
• Develop/adapt beneficiary feedback mechanism for YAWL supported projects and support projects in data collection as needed
• Maintain comprehensive YAWL projects’ files containing but not limited to project plans and amendments, monthly/quarterly/annual reports, midterm and final evaluation reports, surveys and baseline data, case stories, important communications, and all other M&E records both in electronic format and in hard copies
• Develop and periodically revise YAWL supported projects’ data collection and reporting instruments
• Regular visit to YAWL supported projects’ sites to provide technical support to partners’ staff on M&E related issues
• Conduct regular data quality assessment in YAWL supported projects’ sites, follow-up, and data verification.
• Review and compile monthly, quarterly progress and annual reports of YAWL supported projects
• Regularly update YAWL projects’ site profile
• Participate in annual planning and periodic evaluations of YAWL supported projects’, partnership and review meetings and conferences, as required.
• Ensure timely submission of quarterly data and reports for review and submission into the YAWL M&E database.
• Assist MEL Coordinator to train YAWL supported projects’ staff and partners’ staff in using data collection/ reporting tools and database and in understanding YAWL M&E system
• Plan and participate in annual planning and periodic evaluations of YAWL supported projects, partnership, and review meetings
• Ensure the implementation of field activities adheres to YAWL’ monitoring and evaluation system
• Participate in baseline studies, special assessments research activities in YAWL supported projects, as required
• Share learning from M&E process with partners and YAWL projects’ team
• Perform other tasks as may be assigned by supervisor

Qualifications and Experience:
• Bachelor’s Degree in related discipline
• Specialized experience in developing M&E components of projects such as project performance monitoring plans, outcome indicators, and targets
• Experience in Outcome Mapping a plus

ACCOUNTS DEPARTMENT
The Department will be responsible for carrying out the financial management and accounting of YAWL project in Zambia, as well as overseeing compliance, managing project budgets, and directly supporting the programs team with all activities requiring operations. The Finance office will be responsible for all internal controls and for ensuring compliance with all YAWL policy and procedures, donor regulations, and relevant Zambian laws.

PROJECT ACCOUNTANT
Reporting to: Deputy Country Representative (Volunteer) (X1) – Lusaka
Main duties
Financial Management and Accounting
• Design and/or update and implement systems and procedures to ensure operational effectiveness and internal control.
• Make timely payments to suppliers (electronic payments) and check accuracy of the transactions.
• Manage cash through in-country bank account(s) including monitoring the cash levels in the bank accounts and requesting funds on a monthly or as need arise.
• Maintain accurate cashbooks, bank reconciliation and transactions recorded in journals entries and financial system.
• Compile a monthly financial report for approval by the Country Representative or Deputy Country Representative and submit to YAWL Board Members.
• Reconcile local financial records with specified financial reports provided by YAWL Project and submit findings on discrepancies.
• Liaise with the YAWL Deputy Country Representative of Finance and Operations and the Finance team to ensure that financial reports are in compliance with YAWL policies and desired standards.
• Review monthly Project Status Reports (PSRs) and provide the Deputy Country Representative and the Country Representative office with up-to date financial status information and pipeline projections to ensure that project spending is in line with the budget and work plan and trigger actions for additional funding requirements.
• Prepare and maintain accurate and clean Balance sheet.
• Ensure that the YAWL Projects compiles accurate and complete VAT reimbursement submissions.

Compliance
• Ensure that all financial procedures, files, accounting practices and procurement of goods and services are in compliance with YAWL and Government of Zambia.
• Ensure compliance with Zambia laws for payment of statutory employee benefits, registration fees, tax submissions, etc. and keep abreast with changes in the Labour / related Acts for the same purpose.
• Update the inventory register with all required financial data and ensure that an inventory of assets is recorded with this data.
• As needed, assist grantees to meet special award conditions and conduct on-going reviews of grantees financial systems to identify and address issues relating to (non-) compliance.
• Interact with grantees in ensuring compliance with YAWL’s financial regulations.
• Oversee proper and routine filing of financial documents, electronically and paper copies.

Sub contract Management, Monitoring and Capacity Building
• In coordination with the Grants and Contracts and Program teams in country and in YAWL Zambia, manage the all financial aspects of the grants cycle.
• Review monthly financial reports, supporting documents and cash advance requests by selected grantees and approve requests reviewed by the project team.
• As requested by the project team, assist in reviewing and compiling budgets for sub agreements or obligations.
• Oversee grantee financial close outs by reviewing financial books and reports, checking compliance with own policies, and calculating and booking final exchange gain/loss on awards.

Operations Management
• Review all procurement documentation according to available budget to support project implementation.
• Execute YAWL’s procurement policies and procedures and ensure sufficient competition for efficient use of project funds and strong internal controls.
• Maintain fixed asset inventory of YAWL Project as per organisation fixed asset policy.
• Oversee the preparation of payroll, pay slips and all personnel reports on a monthly basis and present these to the Country Representative or Deputy Country Representative approval.
• Ensure compliance with a YAWL Zambia HR policy in compliance with local labour law.
• Liaise with counterparts at partner organizations to ensure effective and efficient collaboration on all matters related to operations, human resources, administration and logistics, including when space and resources are shared.

Qualifications and Experience:
• Bachelor’s degree in Finance, Accounting, Business Administration or related field.
• Sound knowledge of Generally Accepted Accounting Practices (GAAP).
• Ability to work independently and produce timely and high-quality results.
• Maintains high ethical standards both professionally and personally; shows integrity and fairness in dealings with others; is reliable and trustworthy.
• Produces written communications which are clear, fluent, concise and readily understood by the intended recipient(s).

Administrative / Accounts Assistant (Volunteer) (x1) – Lusaka
Reporting to: Project Accountant
Main duties
Planning and Budgeting
• Assist Project Accountant to ensure project planning and budgeting work schedule to meet the requirements/deadlines.
• Support Project Accountant & Program staff to ensure programme/project budgets are clear and aligned with project goals and outcomes, by giving due consideration to YAWL Finance Policies and donor regulations.

Accounting
• Prepare and process bank deposits/withdrawals and petty cash payments.
• Prepare vouchers, process invoices for payment.
• Post transactions to general ledger/voucher interface.
• Review employee expense reports and code appropriately
• File accounting related documents for easy retrieval.
• (if financial partnering involved) Verify the fund transfer to partners and documentation as per agreements; and review and amend (if necessary) financial information provided by partners for consolidation.
• Ensure timeliness, completeness and accuracy in all accounting documents.

Risk Management and Internal Controls
• Support adherence to proper internal control system by program team.
• Promote and practice transparency and integrity for good stewardship of resources.
• Communicate to appropriate people potential risk observed in the program implementation.
• Assist Project Accountant to take corrective actions/measures on audit recommendations and regularly monitor progress.
• (If financial partnering involved) Assist partners to identify areas for improvements on internal control systems to carry out the activities as per agreements; and support to develop internal control systems/manuals as required.

Administration support
• Organize and schedule appointments
• Plan meetings and take detailed minutes

MEDIA AND ADVOCACY DEPARTMENT
The Media and Advocacy department will contribute to strengthening the positive public profile of YAWL and good donor relationships by creating high-quality audio-visual and written content for the YAWL website, social media, and newsletter and interpreting YAWL/donor design needs with high visual impact solutions.

Advocacy Campaigns Communication Media Coordinator (Volunteer) (x1) – Lusaka
Reporting to: Director Legal
Main Duties
Strategic leadership
• Lead the development/revision and implementation of the Country programme ACCM strategy (and operational plan) that aligns directly with the Country Strategic Plan and the SCI Country advocacy agenda.
• Work closely with Program staff and technical specialists to develop new projects and ensure that ACCM interventions are strategically incorporated and adequately resourced and budgeted for in new proposals.
• Ensure strong linkages between Advocacy, Campaigns, Communications and Media function, managers and SMT so that advocacy is well resourced, evidence based, and program driven and that programs are enhanced through advocacy.

Advocacy Strategy Development and Implementation
• Lead Zambia’s Advocacy, Campaigns, Communications and Media work with a clear vision and integrated work plan and objectives, including setting SMART goals for the wider team on ACCM and securing buy-in from key internal stakeholders.
• Revise, strengthen and implement the Country Office’s overall advocacy strategy, identify policy and practice change, on the basis of YAWL’s experience, that would promote and protect women in Zambia.
• Based on YAWL (SC) program priorities, and identified priority issues for women, develop key advocacy messages and identify targets from lessons learned, assessments, research and evidence gained through project implementation.
• Develop and implement advocacy objectives and initiatives, both short and long term, encompassing a wide range of issues and audiences.
• Develop and implement a plan for Country advocacy and influencing as part of the overall advocacy strategy, involving partners, technical experts and national actors where appropriate.
• Work with the Legal Director to develop and implement and plan for international advocacy, identifying key strands of work to be collectively taken forward by the Members and Advocacy Offices.
• Ensure that voices of women are integral to SC’s advocacy, campaigning and media.
• Lead the Country Office’s campaigns strategy, ensuring coordination and engagement across all departments to deliver on the strategic objectives.
• Maintain a strategic overview of issues affecting women in Zambia, monitoring trends in the external environment and inputting and/or leading as required to organizational strategy and planning processes, in coordination with other team members.
• Ensure a robust overview, ongoing analysis, and development of key messages around protecting women and issues affecting YAWL ability to deliver quality programs for Women.
• Work proactively with YAWL Zambia’s partners on joint advocacy, media and communications objectives and support partners to identify and address capacity strengthening opportunities, both for partners and wider civil society in Zambia.

COMMUNICATION OFFICERS (Volunteer) (x1) – Lusaka
Reporting to: Advocacy Campaigns Communication Media Coordinator
Main duties
• Develop YAWL organisation’s communication policy, strategy and guidelines
• Manage YAWL’s internal communications for the country office, exploring new ways to get messages across using social media and online platforms.
• Works closely with all YAWL projects to promote and report on their activities on various YAWL communication platforms per the organisation’s communications policy, strategy and guidelines.
• Supports efforts to strengthen the visibility of YAWL work to key Stakeholders through timely production of Information, Education and Communication materials such as written success stories, internal/external newsletter (quarterly) and other communications materials to highlight project successes, challenges, and lessons learned.
• Provides high-quality, high-resolution photo and video clips of YAWL/donor programme activities, obtaining quotes and interviews, and creating draft content for publication on YAWL social media platforms, newsletters, annual reports and other donor and organisational PR documents.
• Gather information and develop required concepts for organisational and programme-specific internal and external communication strategies and plans.
• Supports the management and maintenance of the website and intranet by employing strategies to increase traffic and making sites the first point of call for information by external and internal stakeholders.
• Support the drafting, design, development, production, and management of all YAWL social media content
• Ensures adherence to YAWL Communications Policy, guidelines donor branding rules and research-oriented communications, rules and regulatory requirements.
• Covers workshops, conferences and other meetings as requested.
• Assists in developing and delivering training materials and activities to build the communication capacity of the YAWL department and programme staff.
• Mentors YAWL programme staff to identify potential stories and how to cover them so that they can create useful draft copy, photos and videos etc., for submission to the Communications Department.
• Supports monitoring and analysis of YAWL website and social media visitor trends/statistics for feedback and reporting purposes.
• Supports coordination of communications team’s initiatives in graphic design and is responsible for developing visually effective outreach and communications materials, including developing infographics and formatting key outreach materials.
• Ensures that all press releases, speeches by YAWL, etc., are available on the website in real-time or shortly after they are released or delivered through other means.
• Attends internal or external events hosted, supported, or attended by YAWL staff to provide media coverage, through capturing and documenting success stories for real-time online dissemination.
• Supports the outsourcing process for select digital engagement campaigns; develops and edits videos and public service announcements for social media and multimedia; and maintains a database of local and regional media houses available to assist in soliciting multimedia campaign services.

Qualifications and Experience:
• Bachelor Degree in communication or Equivalent
• Knowledge of Adobe suite and other design software
• Strong written and oral communication skills with report writing and presentation experience

LEGAL DEPARTMENT
To Assist with the provision of legal services to YAWL Zambia to ensure that the organisation operates within the laws of Zambia.

LEGAL Assistants (Volunteers) (x2) – Lusaka
Reporting to: The Legal Director
Main duties
• Support legal department in providing data required in the development of legal framework indicating detailed policies and procedures for enforcing YAWL standards of operations.
• Support legal department in interpretation of relevant legal policies and requirements governing the NGO sector to ensure consistent understanding.
• Assist legal Director in providing legal advice to Management on YAWL operations and contracts in order to safeguard the organisation’s interests.
• Review and draft agreements, contracts, leases, notices and other legal documents or correspondence involving YAWL for approval by Management.
• Carry out extensive legal research to assist the legal department to render sound professional advice to Management.
• The Legal intern will work with the Media and Advocacy team to support advocacy at the community level.
• Conduct mobile field visits to target communities to meet with persons of concern within the community according to the weekly work plan.
• Identify legal needs in the local communities and provide on-site counselling to Persons of Concern.
• Prepare monthly reports highlighting all legal activities undertaken in the Department.
• Conducts other duties as assigned by the Legal Director.

Qualifications and Experience:
• Diploma/ Bachelor’s Degree in Law
• Experience in providing legal assistance
• Familiarity with and understanding of the Zambian laws
• Computer skills require (word and excel).

PROGRAMMES DEPARTMENT
The role of the department is to deliver change. The department will be required to effectively coordinate the program and management of their inter-dependencies including oversight of any risk and issues arising. It also includes the coordination of the new capability for YAWL to enable effective change and realisation of projected benefits.

PROGRAM OFFICERS (Volunteers) (x3) – Lusaka
Reporting to: The Programs Director

Main Duties
• Implement evidence-based strategies to promote YAWL’s mission
• Coordinate and sustain partnerships and maintain regular communication with various stakeholders to enhance programme delivery/execution.
• Identify and work with stakeholders to strengthen community initiatives
• Take part in relevant coordination meetings and technical working groups meetings
• Responsible for preparation of activity reports
• Conduct high quality capacity building training/Orientation and mentorship for stakeholders
• Participate in the YAWL review meetings, project monitoring and evaluation, reporting and documentation including documentation of best practices and development of knowledge products.
• Represent YAWL externally i.e. stakeholders and donors
• Prepare activity budgets in compliance with internal control procedures
• Participate actively in any other duties assigned

Qualifications and Experience:
• Bachelor Degree in Project Management, Public Administration, Adult Education or any related field
• Experience in project management or programming
• Able to work flexibly
