Project Background
The five-year (2020-2025) USAID Local Impact Governance Activity (Local Impact) is helping Zambia build up a sub-national system of governance for devolved service delivery more responsive to citizen needs. The program is engaging national and sub-national authorities to expand the capabilities of partner provinces and districts to deliver sustainable development outcomes, increase effective citizen and private-sector involvement in development planning and monitoring, and improve public financial management and domestic revenue generation.

The activity is specifically working toward three objectives:
• Objective 1: Citizens improve their collective skills to effectively assess service-delivery needs and performance and constructively engage with government.
• Objective 2: The sub-national governance system becomes more responsive to citizen needs, generates, and accountably expends revenue, and improves service-delivery outcomes.
• Objective 3: The program generates learning and facilitates problem solving that supports the development of an effective, financially viable sub-national governance system for devolved services, capable of being scaled up throughout Zambia.

Purpose
The Activity Support Intern (ASI) will support the Activity Coordinator and Activity Support Officer with day-to-day operations of the Local Impact Activity Schedules and processes. He/She will provide operational assistance to technical teams, by performing a variety of administrative, coordination and logistical services in support of the operations of the project. He/she will assist with recordkeeping and tracking of project activities The Intern will work under the supervision of the Activity Coordinator (AC) and Activity Support Officer, assisting with activity preparation document such as budgets, stationary, accommodation, meeting venues, transportation and any other duties as assigned.

Place of Performance and Reporting
• The Activity Support Intern (ASI) will be based in the Local Impact Activity’s main office in Lusaka, Zambia, with possible travel to field offices as required and will report primarily to the Activity Coordinator.
• The Period of Performance will be six months from June 2023 to December 2023 with the possibility of extending for another 6 months up to a maximum of 12 months.

Responsibilities and Key Tasks

• Support activity coordinator in the planning and execution of Local Impact regional and national level meetings, such as weekly program management meetings, quarterly review meetings or the annual meeting.
• Help with logistical support for staff including hotel accommodations and conference bookings as well as aiding for reconciling of the associated invoices and attendance registers from the service providers according to DAI policy and procedures.
• In collaboration with procurement and administrative teams, ensure that all training supplies (stationery, equipment etc.,) are timely and available for all trainings or activities. Will also assist in the preparation of activity requisitions through TAMIS.
• Communicate with vendors on staff accommodation and meeting reservations, ensuring all items are invoices and paid on time according to DAI systems and procedures
• Backstops the Activity Coordinator and Activity Support Officer, responding to queries from participants regarding meetings/workshops and trainings in her/his absence.
• Will Backstop the Activity Coordinator in updating the Activity Tracker
• Support the Activity Co-ordination unit with preparation of Tilt Payments
• Perform any other duties as assigned.

Supervisory Responsibilities
• The Activity Support Intern shall not have supervisory responsibilities but will provide operational support to the technical teams.

Minimum Education Qualifications, Experience and Competencies
• Degree in Business Administration, Public Administration.
• Strong oral and written English language skills
• Excellent impersonal skills and telephone etiquette
• Administrative, organizational, and general office and project management experience, preferably with USAID projects
• Experience with Microsoft Office suite, including Excel
• Energetic, forward-thinking, and creative, with strong ethical standards and professional values
• Well organized and self-directed individual with sound technical skills, analytic ability, good judgment, and strong operations focus
• Able to maintain good working relationships with team members while retaining high levels of confidentiality and discretion

Conditions

• Internships are on a voluntary basis, and no monthly salary is provided. Interns will however receive a transport and lunch allowance.
