JOB DESCRIPTION (Position 1)

POSITION Assistant Front Office Manager

DEPARTMENT Front Office

REPORTS TO Front Office Manager

PRIMARY OBJECTIVE OF POSITION

Under the direction of the Front Office Manager, manage and co-ordinate Front Office operations to provide efficient, prompt, courteous, trouble free and proactive service to guests; hence maximise room revenue and guest satisfaction. All work will be in line with the hotel’s guidelines and business plan, the departmental business plan, and the Radisson Hotel Group’s corporate guidelines and service concepts.

TASKS, DUTIES AND RESPONSIBILITIES

  • Supervise and co-ordinate Front Office’s shift activities to provide the highest standard of service.
  • Promote good employee and public relations. Support staff decisions relative to customer satisfaction.
  • Train on-the-job skills and knowledge. Certify each employee on his/her tasks.
  • Achieves customer satisfaction and rooms’ revenue goals by supervising Front Office employees.
  • Actively trains and supervises upselling, to achieve targets.
  • Actively trains and supervises the enrolment of Radisson
  • Reward to hotel Guests.
  • Conducts briefing and updates staff with all activities pertaining to the department & hotel.
    Is proficient in all Front Office procedures.
  • Utilises supervisory skills and motivation to maximise employee productivity and satisfaction.
  • Assist the Front Office Manager in the Front office operation and validates all the standards and Procedure for the department.
  • Supervises and participates in the prompt and courteous check-in checkout and servicing of guests.
  • Informs the Front Office Manager on VIP guests and returning guests, and supervises on VIP lists and room blockings.
  • Does room check for VIP arrivals.
  • Checks rates relevant to Bookings – i.e. CORPORATE, TRAVEL, COMPLIMENTARY, GROUPS.
  • Ensures all supporting documents are provided such as TA vouchers, Billing letters, Tour Vouchers, comp/upgrade-request.
  • Audits and follows up room detail report on sleep-out with luggage, without luggage.
  • Reports all incidents for the day.
  • Relieves Front Office Manager during day-off and annual leave.
  • Relieves the Night Manager on day offs or vacation.
    MOD duty when required.
  • Handles promptly and courteously all guests’ comments, complaints, requests or enquiries, takes necessary action, and thorough follow-up.
  • Greets and escorts returning guests and VIP’s to guest rooms upon check-in.
  • Handles walk-ins tactfully in accordance to rules and regulations set by the local authorities.
  • Fully conversant with the hotel PMS system.
  • Able to operate and maintain switchboard, telefax, credit card machines, and is able to make basic updates and changes on above procedures if needed.
  • Any other duties as assigned by the Front Office Manager.
  • High proficiency in Front Office Operations and Property Management Systems (opera or Fidelio)
  • Fluent in both French and English.

PROFICIENCY

EDUCATION

The candidate should at least have a degree (A0) in Hospitality/Management or any related field

EXPERIENCE:

Minimum 2 years of work experience in supervisory level in front office Department in 4-and 5-star hotels.
