JOB DETAILS:
Job Purpose
This position will provide clerical and accounting services to assist the Finance Department in executing processes and delivering service needs that support project activities. As part of an experienced finance team, the Finance Officer will deliver quality support by applying clearly defined accounting and financial reporting processes, procedures, and standards.

Academic & Educational Qualification
• Degree in Accounting/Finance.
• Certificate in ACCA/CIMA/CA is added advantage
• Licentiate Member of Zambia Institute of Chartered Accountants (ZICA)

Knowledge and Experience
• Three (3) years’ work experience in a similar role with some familiarity of standard accounting practices
• Working knowledge of Pastel/Sage is a requirement.
• Experience with an international organization is an added advantage.

• Excellent organizational skills with great attention to detail
• Ethical conduct in accordance with recognized professional and organizational codes of ethics
• Proficient in Microsoft office applications
• Proactive, resourceful, solutions oriented and results oriented. Able to meet deadlines
• Ability to work collaboratively

Key Result Areas (Major Duties and Responsibilities)
Budget Tracking
• Updates Budget Tracking Tools
• Verifies Purchase Requisitions against Pastel/Sage to ensure that there is availability of funds as well as budget line items for each activity
Accounting
• Raises/Captures vouchers into the accounting system in a timely and accurate manner
• Ensures completeness of documentation of Projects for accountability and future donor inspection and or internal audits
• Manages Petty Cash
• Perform any other duties as assigned
• Ensure advances from staff are retired promptly in accordance with internal policy
Procurement Support
• Receive invoices and supporting documentation from Logistics and Capture them into the system
• Liaises with suppliers
• Requests for supplier statements monthly
• Raises Donor Invoices
Financial Reporting
• Manages the Finance Filing system and ensures that all records are filed in compliance with IHM’s filing protocol
• Assist in preparation of monthly reports including monthly burn rates
Audit Process
• Support the Head of Finance during the organization’s annual audit
• Ensure all files are well labelled and documents are accessible.
• Implements Financial policies and procedures
Payments/Business Online Management
• Loads Payments on Business Online
• Downloads proof of payments
Electronic Record Keeping
• Maintains appropriate filling of financial records and ensures proper backup of all files
