JOB DETAILS:
Job Purpose
Supervise, design, implement and evaluate records/archives management systems, processes, and procedures and establish controls of medical records/archives.
The Responsibilities of this role will include but not limited to the following:
• Maintain accurately and timely medical records to prevent misdirection and/loss.
• Maintain record availability by following the established procedures.
• Ensure timely file circulation to facilitate decision making.
• Deliver files to assigned areas of the hospital by following established routing procedure.
• Tracking and organisation of medical records
• Arranging for transfer of documents when required to respective clinics or patients.
• Provide administrative support for medical records management.
• Oversee and accurately file inventory to facilitate efficient storage and retrieval of information.
• Locate and retrieve medical records from various sections generating medical records.
• Manage an updated database on patients’ statistics
• Prepare records for archiving and inventorying records.
• Keep health care providers informed by communicating availability or unavailability of the records, irregularities, and continuing needs.
• Prepare and compile periodic and special reports.
• Overall supervision of Medical Records activities, providing work direction to registry clerical staff and other health care providers on issues related to medical records.
• Responsible for the development of subordinates and identification of their training needs With a view to building capacity.
• Maintain patient confidentiality by keeping patient records information as confidential.
• Interprets and effectively implements policies, regulations, and procedures to ensure compliance with set standards.
• Ensures timely development of individual and departmental work plans and assessment of staff to evaluate performance.
• Manage any other duties assigned by superiors.
To be considered for this position, the candidate should meet the following minimum requirements:
• Grade 12 certificate
• Diploma in Records and Archive Management or related field.
• Good interpersonal skills.
• Good oral and written communication skills
• Solid knowledge in health care, medical terminology, records and Information Management System, records inspections and audits, Medical Ethics.
• Computer literate with good working knowledge of Outlook, Word, Excel and PowerPoint.
• The successful candidate must be result oriented and have the ability to work with own initiative, ability to understand scope of work, paying particular attention to Company policies and Corporate objectives.
