1.0 INTRODUCTION

Kwacha Pension Trust Fund (KPTF) pension Trust Fund. The Fund Insurance Authority (PIA). a single employer defined benefit regulated by The Pensions and Stand No. 5534 situated in Kalundu Lusaka, is owner Occupied by Kwacha Pension Trust Fund and is its Head Office. The Fund seeks proposals for the erection of a single room archive office at its Head Office

2.0 OBJECTIVE

The objective of this exercise is to provide technical and financial proposals for the crection of an archive office for safe and secure storage of documents

3.0 SCOPE OF SERVICES

The Terms of Reference for the provision of proposals for the construction of an archive office on Stand No. 5534 Lusaka, Grer os follows:

a) Provide preliminary physical feasibility of the proposed development taking into consideration site development and improvement costs.

b) Provide the proposed land use zoning and/ or restrictions and govering regulations and their possible implications

c) To prepare detailed designs of the root section and floor layout for the archive office in terms of accessibility and shelving arrangements

d) To prepare a detailed finishes schedule indicating the type of roof foor, wall and ceiling finishes to be used

e) To prepare detailed door and ventilation schedule specifying the numbers and types of door and ventilators to be used

f)To prepare a detailed plan for electrical

g) To prepare detailed designs for a security system that is inclusive of access control CCIV SUrolonce system intrusion and fire carm systems

h) To prepare a layout of thelighting equipment suitable for the purpose of the structure.

I) To preparen 3D rendered dicawings of the structure

J)  Provide estimates of Quontities for the proposed development

k) The Grid willing of the proposed structure will be greed upon during a site visit. However, the maximum foreseeable size is approximately 10m x 8m To construct the carchive room in line with the technical proposal and agreed parameters

DELIVERABLES

The following shall constitulee the milestones and shall be presented in the format and manner outlined below:

The Consultant will be expected to submit Preliminary Designs for the Client to review and comment on

4.2  Atter the Client's review, the Consultant will be expected to submit four (4) copies of Final Design Drawings in hard copy on Al paper and in soft copy

Upon submission of the final designs the Consultant will be required to submit the drawings to the Lusaka City Council for approval

Aller preparation of drawings, the Quantity Surveyors engaged by the Consultant will prepare a BOQ ond submit both blank ond pricod copies The Builders to be engaged by the Consultant shall be required to undertake the construction of the archivo room in line with the agreed Designs, Specifications and Bill of Quantities

5.0 DURATION OF THE PROJECT

The exercise is expected to be completed within 16 weeks from the date of appointment. The successful Consultant shall submit sealed milestone reports in hard and soft coples in the numbers indicated under 4.0 above to the following address:
