Duration: 2 Weeks
1.0 Background:
YWCA is implementing a COVID 19 Grant under the Global Fund Grant supported through the Churches Health Association (CHAZ). The overall goal of the grant is to contribute toward the prevention of COVID 19 transmission in communities based in Mazabuka district of Zambia.
As part of implementing the rolling out of project activities, YWCA seeks to engage a consultant to digitalise the online trainings and sensitization materials – of communities as well as of law enforcement and healthcare Workers in Zambia from given modules .
The main purpose of the assignment is to ensure modules are digitalised into online materials that are suitable/compatible for online training/sensitisation of communities throughout Zambia for purposes of raising awareness on COVID 19, with emphasis on ensuring that the general public, health care workers and law enforcers are equipped with information on COVID 19 and related consequences health, economic and social.
The objective of this consultancy is to fulfill the following:
Support digitalisation of already created training/sensitisation materials/content by putting it online
Deliver digitalised training/sensitisation materials and upload them online as agreed with YWCA
2.0 Tasks to be performed by the consultant
The consultant is responsible for providing the following services:
I. Digitalised Instructional Design Document
II. Submission of high-level instructional design document (IDD) including the concept, and System Requirement Specifications (SRS) document (describing all data, functional and behavioural requirements of the software under production or development according to requirement of the hosting/LMS platform.
III. Present and discuss IDD with YWCA in a meeting.
IV. Designing and presenting detailed storyboard based on IDD.
3.0 Design and Development
i. Transform through digitalisation of already developed training/sensitisation materials into electronic-online modules. Design and curate interactive materials using multimedia elements, graphics, animations, stimulations, quizzes, case studies, etc. Topics within the training modules should be graded according to their complexity during development.
ii. The following type of available materials will be converted to online learning content. These are material from different formats: Documents (Microsoft Word, PDF, eBooks), PowerPoint Slide Presentations; videos, webinars (live streaming or recorded), other multimedia content.
iii. Prototype – Develop and present two to three samples of the online training platform and an initial prototype of one of the topics. These should be approved by YWCA staff.
iv. Develop the first contents incorporating the feedback on the prototype.
4.0 Create User Profile
Enable option for the user to create a ‘Profile’ for the materials to save their details and track their progress in the usage of the materials. The details entered in this will be used to generate the certificate and participant attendance. A certification shall be provided based on the assessment elements such as quiz, multiple choice questions (MCQs).These can be used to test the competence of the participants/users on the topics to enable the issuance of certificates.
After each chapter / module, participants/users take a short quiz. When the participants/users successfully complete the quiz, the module is shown as “completed.” • Sub-modules should also be tracked and marked as completed, so the participants/users can avoid repeating content that they already did. After the participants/users complete the entire module, including the last quiz, a certificate of completion is generated.
Include a repository of reading material and contacts of resource persons, instructors for additional information.
5.0 Technical Factors and Additional Specifications
• Language – The basic version should be created in English
• Interactivity – The online materials should have some level of interactivity and could include the following features:
• Cohesive presentation with branched elements, adaptive feedback, and remediation.
6.0 Hosting / LMS Platform
The online materials will be hosted on an appropriate platform.
7.0 Updating the online materials
The provider should develop the digital content so that the content can be updated at a later date by the respective IT team of the YWCA.
8.0 Responsive Design
• The online materials should be designed for use on computers / notebooks, tablets / iPads, and mobile phones. The output should be accessible in multi-browsers and in smartphone devices.
• The content should be Sharable Content Object Reference Model (SCORM) compliant and run on any standard SCORM compliant Learning Management System (LMS)
• Data Security and Upholding Data Privacy Regulations
9.0 General Functions:
Under the overall supervision of the Executive Director, YWCA and the direct supervision of the Programmes Manager, the Consultant will perform the following tasks:
Presentation of preliminary concept ideas for the consultancy
The consultant will be tasked to develop 3 online training materials as follows;
• Online sensitisation materials for the community,
• Online training materials for the health care workers and
• Online training materials for the law enforcers.
The consultant may propose additional inputs to the methodology.
10.0 Deliverables
i. Inception report including the online materials concept, work plan, and System Req uirement Specifications (SRS) document and IDD.
ii. Presentation of prototype of one of the training topics.
iii. Hosting of first training and sensitisation materials on appropriate platform.
iv. Hosting of all training and sensitisation materials on appropriate platform.
v. Submission of all the e-materials in a Flash/CD.
11.0 Documents to be Included When Submitting the Proposals
11.1 Technical Proposal
While submitting the Technical Proposal, the Applicant shall, ensure to attach the following:
i. Profile of the consultant (max 1.5 pages) explaining why they are the most suitable for the work.
ii. Relevant Experience (max 2.5 pages).
iii. Detailed methodology and conceptual framework with expected deliverables and timelines, man days required (3-5 pages).
iv. Recent CV
11.2 Financial proposal
Lump sum contracts: The financial proposal shall specify a total lump sum amount (including a breakdown of costs for fee, and number of working days). Payments will be made in installments based upon key outputs, i.e. upon delivery of the services specified in the TOR.
50% on signing the contract and submission of a blueprint including work-plan and methodology for the assignment (in English).
50% on submission of all the required works and completion of the assignment (in English).
12.0 Consultants Profile
The consultant should have:
1. Extensive experience in the virtual training space, with a track record of work supporting NGOs to build online training/sensitistion platforms and approaches is essential.
2. Understanding of issues around internet connectivity and accessibility is essential. Experience of questions around GBV, Adolescent Sexual Reproductive Health, disability and online access is desirable.
3. Excellent writing skills and proficiency in English is essential.
4. Excellent interpersonal skills and flexible attitude
5. Proven ability to work to tight deadlines
6. Commitment to Christian values is essential.
13.0 Minimum Qualifications and Experience:
13.1 Education
• Degree/Master’s degree in education, communication, instructional design or related areas discipline from a reputed university.
13.2 Technical Knowledge and Experience
• Three (3) to eight (8) years of professional experience is required in creating and develop relevant, engaging content for a wide range of products such as online learning modules, live classes, surveys, training etc. is a must
• Experience with creating digital content and knowledge of education technologies
• Excellent writing and storytelling skills in a number of different styles/tones is a must
• Understanding of SEO for digital content creation is an advantage
• Great research, organizational, and learning skills is a must
• High comprehension of software like Microsoft Word and Google Docs is a must
• Experience in conducting training over webinar/virtual mode is an advantage
14.0 Duration of Assignment
The assignment shall be for 15 consulting days.
15.0. Selection Method
Consultant will be selected in accordance with the Consultants Qualification Selection set out in the advertisement.
