JOB DETAILS:

John Snow, Inc. (JSI) seeks highly qualified and accomplished public health leaders and providers for the recently awarded United States Agency for International Development (USAID)/PEPFAR-funded Supporting an AIDS-Free Era (SAFE) Project in Zambia. The five year project which will be led by JSI in partnership with Abt Associates,mothers2mothers, and the Catholic Medical Mission Board, will work to reduce HIV mortality, morbidity and transmission, while improving nutrition outcomes and family planning integration in three provinces: Central, Copperbelt, and North-Western. USAID/PEPFAR SAFE will work with the GRZ, private sector and civil society institutions at the national, provincial, and district level to increase access to ART for HIV positive adults and children, reduce the incidence of new infections, improve Nutritional Assessment, Counseling and Services (NACS) and family planning services, and increase the capacity of local health institutions to better serve affected populations.


JOB DESCRIPTION – HR ASSISTANT – RECORDS

POSITION TITLE: Human Resource Assistant – Records

REPORTING TO: Senior Human Resource Specialist

EMPLOYMENT TYPE: Fixed Term

LOCATION: Lusaka

POSITION SUMMARY:


The position will be a full time position that will be based at the Lusaka office where records are centrally managed. The Job Holder’s primary responsibility will be and not limited to the following;

• Creation of new files for staff and maintenance of the already existing files
• Management of the filing room in terms of orderliness for easy retrieval of files
• Ensuring that all documents relating to employees are on the files
• Follow- up of HR documents from members of staff to be added on files
• Maintenance of a Record Database for all files
• keeping files in an Audit ready position at all times
• Producing a monthly Records Report for users to know the status of files
• Assisting Employees with documents and updating of the records with current information
• Ability to use Excel in creating databases for records
• Assist the HR Team during recruitment to call candidates, schedule interviews, do reference checks for potential candidates
• Assist in introducing newly engaged staff during orientation
• Any other duties assigned

ATTRIBUTES

Maintaining Confidentially as various documents will be submitted by staff

Self – Starter who can work independently

QUALIFICATIONS


• Diploma / Degree in Human Resources
• Member of Zambia Institute of Human Resource Management (ZIHRM)
• 2 Years’ experience in the HR Department with specific knowledge of records management
• Any qualifications in Records Management will be an added advantage


Work Hours: 8


Experience in Months: 24

Level of Education:
Postgraduate Degree
