About the position

The position is responsible for assisting the Talent Growth Manager in running the day to day human resources activities and tasks, application/interpretation of HR policies and procedures.

Key Accountabilities

• Support as directed by the Talent Growth (TG) Manager in implementation of TG practices including recruitment, onboarding, employee life cycle management, performance and potential management, payroll management, staff welfare and development.
• Maintain employee database. Ensure accurate data entry, regular review and up-dation of staff personnel information files and any other staff documentation including on any existing technology platform (HRIS).
• Accurate and timely payroll administration in collaboration with Talent Growth Manager and internal finance team in accordance with statutory regulations.
• Generate, track and file documents for legal accreditations as well as any other statutory compliance reports as needed.
• Strictly observe confidentiality and strong ethics with respect to all beneficiaries, staff, volunteer information/data.
• Comply with and ensure adherence to the agency’s policies, safety and security protocols and child safeguarding norms and guidelines by self as well all stakeholders both internal and external
• Be non-discriminatory and respectful in relating with people, especially the sponsored children/youth and their families, volunteers, staff, and other stakeholders.
a. Talent Acquisition
• Identify diverse channels for sourcing.
• Support in internal and external circulation/visibility and advertising on specific channels in line with the internal process.
• Assist in screening and shortlist applications as well as facilitate interview scheduling.
• Prepare and maintain all documentation, including report compilation, score collations, reference checkups, intimation to unsuccessful/successful candidates.

b. Employee Life Cycle Management, Documentation and HRIS
• Support the TG Manager with the on-boarding process to enable effective assimilation of any new hires.
• Prepare and send out centralized HR Documents across employee life cycle for all staff, in an accurate and timely manner, including letters of offer/appointment, contracts, confirmations, transfers, relieves, experience certificates, etc.
• Maintain all employee documentation and the central employee database, including accurate data entry as well as regular review and up-dation of the same.

c. Employee Safety, Welfare, Engagement and Development:
• Assist employees with their needs and support requests and provide follow-up so that appropriate solutions are provided to internal clients.
• Coordinate trainings with concerned department heads/managers, specifically scheduling and documenting attendance & feedback.
• Administer, collect, and collate data on employee morale and health through various activities, including feedback surveys.

Education, Experience And Key Skills
• Diploma in Human Resource management or any other relevant discipline with 1-2 years of experience.
• Strong verbal, written communication as well as research, documentation, and reporting skills in English.
• Excellent computer skills specifically MS Office as well as familiarity with inter/intranet, Google Drive, etc.
• Possess good interpersonal skills with the proven ability to deal tactfully and build effective relationships with people across levels, both internally and externally.
• Ability to quickly learn new systems, processes and procedures and manage implementation and reporting with an eye for details.
• Ability to prioritize, work under pressure and ensure adherence to deadlines and turnaround time without compromising quality
