JOB DETAILS:
In line with our corporate priorities aimed at ensuring optimization of revenue collection and increased tax compliance on one hand and the need to effectively manage the numerous challenges and opportunities in the fast-changing business environment on the other, we are seeking highly motivated, result-oriented, well-qualified and experienced professionals to fill the following vacant positions:

52.0 PERSONAL SECRETARY - GRADE ZRA 07 (3 POSITIONS)

A. PURPOSE
Reporting directly to the Assistant Director/Assistant Commissioner, you will be responsible for providing secretarial Services to this office and staff so that they operate efficiently and effectively as they work towards meeting the business objectives of the station.

B. MAIN DUTIES/ACCOUNTABILITIES
• Composing routine correspondence, proofreads and/or finalises letters, memorandums, reports or other documents approval or signature of the Station Manager;
• Screening all mail and telephone calls for the Station Manager;
• Managing the Station Manager’s diary;
• Arranges travel and accommodation for the Station Manager;
• Compiling and summarises data or reports from a variety of sources in accordance with specific instructions or procedures;
• Reviews documents for accuracy, completeness and compliance;
• Receiving recording, monitoring and Co-ordinating business correspondence from taxpayers and other units within Zambia Revenue Authority;
• Operating standard office equipment such photocopying and fax machines;
• Preparing purchase and supply requisitions or other documents;
• Maintaining efficient filing and brings-up system for the Station Manager’s Office
as well as for the station;
• Managing efficiently the office of the Station Manager and ensures that all office machines (equipment) are in good working order;
• Maintaining adequate office supplies such as stationery and consumables as well as petty cash;
• Maintaining good relationships with Taxpayers/external clients, ZRA management and staff;
• Arranging meetings for Station Manager with taxpayers;
• Attending to all general enquiries for the Station and facilitates good communication and dissemination of general information;
• Ensuring strict adherence to confidentiality when handling correspondence, reports, appointments etc and
• Planning and assigning the work of Cleaners/Messengers, organizes and coordinates work flow and establishes priorities and deadlines; reviews work for accuracy, timeliness and conformance with procedures and processes.

C. MINIMUM REQUIREMENTS
• Grade 12 School Certificate or General Certificate of Education (GCE) equivalent;
• Certificate in Secretarial or equivalent with Shorthand Speed of 80/90 WPM and Typing Speed of 55 WPM;
• Minimum of two (2) years relevant post qualifying work experience; and
• Fully paid up membership to the Secretaries Institute of Zambia.
