JOB DETAILS:
The Law Association of Zambia is inviting applications from creative and talented candidates for the post of Office Manager.
Job Profile
The Office Manager will play a crucial role in ensuring the smooth operation of our office by providing administrative support to the membership and assisting in daily office tasks.
The main duties and responsibilities are:
1. Responsibilities
• Answering phone calls and redirecting them to appropriate personnel
• Greeting and assisting visitors in a professional and courteous manner
• Managing incoming and outgoing correspondence, including emails and mail
• Maintaining and organizing filing systems, both physical and digital
• Scheduling appointments and meetings, and managing calendars for executives
• Assisting with travel arrangements and accommodation bookings
• Preparing and editing documents, reports, and presentations
• Ordering office supplies and maintaining inventory levels
• Performing other administrative tasks as assigned by management
2. Values and Ethics
We are looking for a team player, a creative and innovative communicator who is resourceful. The candidate should have a high level of integrity, accountability, punctuality and be willing to work beyond normal working hours when need arises. The candidate should be exemplary in portraying Law Association of Zambia values and ethics.
3. Minimum Qualifications and other Requirements
Education
• Grade 12 Certificate or equivalent.
• Diploma/Certificate in Secretarial or a related field.
• Office Administration qualification is an added advantage.
Experience
• At least three (3) years of similar work experience is required.
• Candidate should be able to work independently, with minimum supervision and guidance from supervisors.
Skills
• Excellent written and oral English communication skills and proficiency are required.
• Knowledge of local languages is an added advantage.
• He/she should have advanced working knowledge of MS Office (Word, Outlook, POWERPOINT, Excel, Teams etc).
