Job Summary
The Temporary Procurement Coordinator will be responsible for overseeing all procurement activities, ensuring compliance with local and federal regulations, and managing the procurement processes for health and non-health commodities procured locally. This role involves quantification, vendor engagement, procurement processes, contract management, and ensuring an uninterrupted supply of goods and services required for the program’s goals and objectives.
Key Responsibilities:
Coordination of Procurement and Supply Management:
• Oversee the procurement and supply management of health and non-health commodities for the grant.
• Ensure adherence to relevant guidelines and regulatory requirements for health commodities management protocols.
Cost-effectiveness and Strategic Planning:
• Ensure cost-effectiveness in the procurement and management of commodities, including health and non-health commodities.
• Identify and implement new strategies and cost-effective approaches to improve service delivery.
Contract Management:
• Manage contracts with third-party logistics providers (3PL) and other vendors.
Procurement Planning and Tracking:
• Plan procurements and track shipments to ensure timely delivery of goods and services.
Systems Development and Maintenance:
• Develop and maintain systems and mechanisms for the acquisition and delivery of health and non-health commodities tailored to the program’s needs.
Collaboration and Communication:
• Collaborate with internal stakeholders to ensure alignment of procurement activities with program goals.
• Communicate effectively with vendors, partners, and relevant authorities to facilitate smooth procurement processes.
Adherence to Regulations and Guidelines:
• Ensure that all procurement activities comply with local and federal regulations, as well as relevant procurement rules and restrictions.
• Any other roles or duties assigned by the supervisor to support the program’s objectives.
Required Education, Skills, and Experience
Education:
• Degree in Purchasing and Supply/CIPS Level 6, Master degree will be added advantage
• Must be a Member of ZIPS
• Knowledge of ERP systems will be an added advantage.
Experience:
• Knowledge of GRZ and USG procurement regulations
• Familiarity with the Zambia Procurement ACT
• Minimum of ten (10) years relevant experience managing health supply chains on donor funded programs e.g. HIV, Malaria, etc. with at least five (5) years managerial responsibility
Language:
• Fluency in English, both written and oral.
