Overview
• The LLC Africa Regional Auxiliary Services Office is currently looking for Travel & Accommodation Officer reporting to the Director of Auxiliary Services. The Travel & Tour Officers are responsible for assisting the University Commission in identifying the most feasible travel and accommodation arrangements in accordance with requirements of the end-user at the best price/quality ratio and within the University travel and accommodation procedures.
• He/she will serve as the main focal point of contact at the University for travelers and individuals initiating travel requests, for all international travel, as well as local and international accommodations.
What You Will Do
1. Manages and processes the University’s travel requests: maintains documentation of travel requests for faculty, staff, students, guests and visitors traveling on behalf of the University
2. Manages and processes the University’s accommodation requests for international faculty
3. Coordinates between travel agencies and travelers: assists travelers and individuals initiating the travel requests regarding travel procedures, travel issues, and client regulations. Responds to inquiries, reviews end user preferences, arranges airfare bookings, offers suggestions and determines the optimal itinerary
4. Coordinates and monitors correspondence, secures proper approvals, receives and substantiates invoices and coordinates with the Business Office for the mode of payment as well as on-line payments
5. Coordinates and processes travel insurance issues with insurance provider and preferred travel agent/air lines
6. Acts as emergency contact for travelers and individuals initiating the travel requests
7. Provides orientation and training on travel procedures, maintains and updates travel documentation, and manages database travel information.
8. Maintains records of all communication and transactions with travel agents/airlines/accommodation facilities, and all received offers
9. Solicits price quotations from nominated or preferred travel agents/airlines in accordance with University procedures and ensure that all reservations for travel and accommodation are fulfilled
10. Sets the technical specifications for bidding with the help of the Procurement Office and participates in bid committees to select travel agents
11. Analyzes and monitors the services received by travel agencies, airlines and/or accommodation facilities
Required Qualifications, Skills and Competences
• Bachelor’s degree
• Minimum 3 years of experience related to managing and coordinating travel, logistics, and accommodation
Experience and Skills
• Strong oral and written communication skills in English and Arabic
• Ability to assess priorities and manage a variety of activities with close attention to detail
• Advanced planning and organizational skills
• Client orientation and the ability to effectively interact with various cultures
• Ability to work well independently and within a team framework
