JOB DETAILS:
Job Purpose
The Human Resources and Administration officer will be responsible for providing support in various human resources functions, including recruitment, employee relations, performance management, and HR administration. The Officer will collaborate with the Human Resource team to ensure the effective implementation of Human Resource policies and procedures, fostering a positive work environment and supporting the overall Human Resource strategy and overseeing the day-to-day administrative functions of the Institute, ensuring efficient operations and a well-maintained office environment of ZIPS.
Key Responsibilities
Working under the supervision of the Finance and Administration Manager, the specific responsibilities of the Human Resource and Administration Officer shall be:
• Assist in the recruitment process by posting job openings, screening resumes, and coordinating interviews;
• Conduct orientation sessions for new employees and facilitate the onboarding process;
Handle employee inquiries and provide information on Human Resource policies and procedures;
• Assist in resolving employee relations issues and conflicts in a fair and timely manner Maintain and update employee records, ensuring accuracy and confidentiality;
• Prepare Human Resource-related documents, such as employment contracts, letters, and reports;
• Support the performance appraisal process by collecting and organizing relevant data; Assist in employee development and training initiatives.
• Stay informed about employment laws and regulations to ensure compliance;
• Support the administration of employee benefits, including health insurance and retirement plans;
• Contribute to Human Resource projects and initiatives aimed at enhancing the overall employee experience;
• Provide administrative support to various departments as needed;
• Manage the Institute’s transport fleet;
• Supervise facilities, ensuring a safe and secure work environment;
• Arrange travel and accommodation for staff as required;
• Maintain and Manage ZIPS fleet.
• Maintain and manage administrative records; Implement and enforce health and safety protocols in the workplace.
Educational Requirements And Experience
• Grade 12 Certificate with five (5) credits including Mathematics and English
• A Bachelor’s Degree in Human Resources/ Public Administration or equivalent professional qualification
• 5 years’ experience in a similar role
• Paid up member of ZHIRM
• Proficiency in IT and Microsoft software
