Executive Assistant. .
Main responsibilities or duties:
Reporting directly to the CEO, the Executive Assistant provides executive, administrative, and development support to the CEO and the Management Board. The Executive Assistant serves as the primary point of contact for internal and external stakeholder on all corporate-related matters.
Some of the main responsibilities of the executive assistant shall include:
• Screen and prioritize email and paper correspondence and ensure timely follow-up
• Draft responses to correspondence and ensure these are accurate and timely
• Communicate on behalf of the CEO with external and internal stakeholders on matters related to AB Bank business
• Assist in coordinating the agenda of management team meetings
• Prepares an account of the meetings and follows up on assigned action items
• Serves as the CEO’s administrative liaison to the Board of Directors and manages Board activities, which include coordinating quarterly Board meetings and dinners, lunches and/or receptions
• Processing travel reimbursement requests relating to Board meetings
• Compiling, assembling, and distributing Board meeting materials and minutes
• Maintains confidential files and contact information
• Coordinates meetings, conferences, and committees both on and off site to support the CEO and Management team agenda
• Preliminary analysis of reports and other documents received for the attention of the CEO and Management team
• Provide administrative support in a timely and accurate manner
• Support the CEO in documenting, organizing and maintaining electronic and paper
• files to ensure ease of access
• Record minutes of meeting and action points
• Coordinate, collate and pre-circulate meeting papers
• Prioritse effectively, deliver and satisfy the business needs and stakeholder objectives
• Ensure that information is readily available
• Locate relevant background papers and information in preparation for meetings
• Drafting of reports as requested by the CEO
Minimum qualifications
• Bachelor’s degree (Diploma may be accepted if relevant experience is above the required standard)
• Very good oral and written presentation skills
• Excellent command of English language and of Microsoft Office package
• Very good time management skills
• Excellent organizational skills
Job Education Requirements: Bachelor’s degree
Desired experience:
• Minimum 3 years’ experience in a highly dynamic business environment
• Experience in a multinational enterprise is a plus
• Proven experience in executive administration and support
• Ability to work with people at all levels of authority
• Strong attention to detail, passion for quality
• Ability to nurture and expand relationships with stakeholders
• Must be a self –starter and multi-tasker, able to handle large and complex assignments
• Well organized, capable of working under stress
• High level of emotional intelligence
• Knowledge of Zambia’s banking and financial services sector is a plus
